About The Position

This full-time position is responsible for managing the day-to-day duties of the Catering and Special Events office. This includes handling daily paperwork, copying, typing, answering and directing phone calls, assisting members with their needs, and maintaining office supply inventory. The role involves working closely with the DAC Communication department, multiple managers, and culinary staff to ensure smooth event operations and excellent member satisfaction.

Nice To Haves

  • Experience in food and beverage service industry preferred.
  • Knowledge of Delphi or ESP 2000 desired.

Responsibilities

  • Manage daily paperwork, copying, and typing for the Catering & Special Events office.
  • Answer and direct incoming phone calls from members and inquiries for the Catering & Special Events Department.
  • Work directly with members to address their needs and direct them to the appropriate personnel.
  • Maintain inventory of all office supplies and order necessary supplies.
  • Collaborate with the DAC Communication department to create daily and weekly menus and communication materials.
  • Assist 6 managers with their daily paperwork needs, including responding to emails and phone calls, researching for events, completing deposit sheets and Direct Billing forms, and creating banquet menus.
  • Work with culinary staff to complete buffet cards and menus.
  • Coordinate all In-House Department Meetings, Committee Meetings, Suite Bookings, and Employee Orders.
  • Strive to learn, grow, innovate, improve, and maintain organization to create the best work environment.
  • Create and distribute the Daily function list, Change Sheet, Weekly events list, Pop Ups, Revised BEOs, and BEO Packet.
  • Forward billing copies of BEOs to Accounting by noon each day.
  • Develop and assemble specialty menu cards, place cards, and buffet cards as needed for events.
  • Book and detail In-House meetings and events.
  • Communicate last-minute changes regarding events to other departments.
  • Assist at some special events, such as hostess or working the registration table.
