About The Position

The Holiday Inn Express & Staybridge Suites Saskatoon – University is seeking an enthusiastic, organized, and results-driven Catering & Events Coordinator to lead one of Saskatoon's best hotel event operations. The dual-branded Holiday Inn Express & Staybridge Suites offers modern accommodations, outstanding guest service, and versatile meeting and event facilities. Our event venue features four beautifully designed meeting and event spaces with more than 5,000 square feet of flexible event space, including a stunning ballroom exceeding 3,000 square feet (divisible into two separate function rooms) and three additional meeting rooms ranging from 625–850 square feet. We offer modern audiovisual capabilities and flexible room configurations. Whether hosting an executive board meeting for 20 guests or a banquet for hundreds, we pride ourselves on delivering exceptional service from start to finish. As our Catering & Events Manager, you'll oversee every aspect of the guest journey - from the initial inquiry through the successful execution of each event. Working closely with the hotel leadership team and clients, you'll coordinate events that exceed expectations while ensuring profitability, operational excellence, and outstanding guest satisfaction. You'll also provide leadership and direction to a team of banquet associates, fostering a culture of teamwork, professionalism, and exceptional service. Requirements

  • 2–5 years of experience in hospitality, catering, event planning, food & beverage, or hotel operations preferred
  • Previous leadership or supervisory experience preferred
  • Experience in banquet operations considered a strong asset
  • Sales and customer relationship experience preferred
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Experience with catering or event management software is considered an asset
  • Food Safe Certification (or ability to obtain) is required
  • Serving It Right certification (or ability to obtain) is required
  • Ability to work a flexible schedule, including evenings, weekends, and holidays when events require

Responsibilities

  • Respond to catering and event inquiries promptly and professionally
  • Meet with prospective clients to understand their event vision and requirements
  • Prepare event proposals, banquet event orders, contracts, and quotations
  • Conduct site tours and showcase our meeting and event facilities
  • Build strong relationships with local businesses, organizations, sports teams, and community partners
  • Follow up with clients before and after each event to ensure complete satisfaction
  • Generate repeat business through exceptional service and relationship management
  • Coordinate all logistics from booking through event completion
  • Develop detailed event timelines and room layouts
  • Work closely with the Executive Chef on menu planning and food service timing
  • Coordinate audiovisual requirements, room setups, rentals, décor, and special requests
  • Ensure banquet event orders are accurate and communicated to all departments
  • Anticipate client needs and proactively resolve challenges before they arise
  • Recruit, train, coach, and motivate a team of banquet associates
  • Prepare banquet schedules based on business demands
  • Lead pre-event meetings and communicate expectations to the team
  • Supervise event setup, execution, and teardown
  • Ensure all banquet operations meet company, brand, and health & safety standards
  • Maintain banquet equipment, inventory, and event supplies
  • Assist with budgeting, labour management, inventory control, and departmental performance
  • Support other hotel departments as required to ensure an exceptional overall guest experience
