About The Position

The Catering Coordinator is responsible for assisting in the daily operations of our events and meeting space to ensure overall client satisfaction. This individual will report to the Director of Catering and handle all administrative duties as assigned by the Catering Department.

Requirements

  • Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint required
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks simultaneously in a fast-paced environment
  • Previous experience in hotels, catering, or with Delphi preferred
  • Must reside within a 50-mile radius of the hotel

Nice To Haves

  • Experience with Triple Seat Experience preferred

Responsibilities

  • Arranges appointments for the Managers and Director of Catering.
  • Answer incoming telephone calls - all Sales and Catering lines.
  • Responds to telephone inquiries by determining client's needs and specifications for referral to Catering Sale Managers.
  • Manages the Leads inbox, create bookings and assigns to the correct manager.
  • Ensures that all filing systems are maintained according to spec's (Local, Convention and Spin-off).
  • Maintain inventory of office supplies.
  • Monitors work load of Catering Sales, Catering Service, Director of Catering and the Restaurant Sales Coordinator.
  • Makes adjustments as necessary.
  • Sells Food & Beverage to small catering groups and one-shot groups.
  • Handle Site Visits and Group Tour when necessary.
  • Type and distribute menus for these groups.
  • Co-ordinates event details and distributes the information to the rest of the hotel.
  • Gathers and organizes all materials for Catering End of Month report.
  • Assists Catering Service Manager and Director of Catering to "tie-down" catering events within 48 hours in advance (guarantees, floor Plans, entertainment, flowers, A/V etc..)
  • Works closely with the Restaurant Sales Coordinator to assist with qualifying leads received via phone call, email, or direct inquiry.
  • Special projects as assigned by Director of Catering.
