About The Position

The Catering and Events Specialist supports the planning and execution of events by ensuring seamless operations and high-quality guest experiences. This role assists with event coordination, oversees setup and breakdown, and provides on-site leadership during events, including stepping in to lead in the absence of the Catering and Events Manager. The Specialist works collaboratively across departments, delegates tasks to event staff, and monitors event flow to ensure efficiency, safety, and adherence to service standards. This position requires strong organizational, communication, and customer service skills, along with the ability to adapt in a fast-paced, dynamic environment.

Requirements

  • Two (2) years experience in food service required, management preferred
  • High school degree required
  • Two (2) years of experience in customer service, retail, event planning, or related field
  • Extensive knowledge of event planning, front of house catering operations, and food hygiene standards
  • Ability to anticipate client needs and deliver high-quality event experiences
  • Strong leadership, managerial, and supervisory skills
  • Ability to work efficiently in a fast-paced environment
  • Excellent verbal and written communication skills
  • Strong interpersonal and customer service skills
  • Strong organizational skills, attention to detail, and ability to manage time, prioritize tasks, and meet deadlines
  • Ability to remain calm under pressure and deal with unexpected situations
  • Proficient with Microsoft Office Suite or related software
  • Prolonged period of standing and walking
  • Must be able to lift up to 40 pounds at times
  • Must be able to physically prepare event spaces, which may include walking, standing, kneeling, or climbing

Responsibilities

  • Assist in the planning and coordination of events, including collaborating with internal teams and occasionally interfacing with clients
  • Execute event setup and breakdown according to event plans, including venue arrangement, signage, and equipment
  • Lead on-site event operations in the absence of the Catering and Events Manager, ensuring smooth execution and high service standards
  • Delegate tasks to catering and event staff during events, supporting a positive and team-oriented work environment
  • Monitor event flow and staffing levels, making real-time adjustments as needed to support efficient operations
  • Ensure cleanliness, organization, and adherence to food safety and sanitation standards throughout events
  • Communicate event details, updates, and any changes clearly to staff and relevant departments
  • Assist in resolving guest concerns during events, escalating issues as appropriate
  • Complete closing responsibilities, including cleaning, breakdown, final walkthroughs, and securing the facility
  • Collaborate with Building and Grounds, Visitor Services, and other departments to support successful event execution
  • Participate in planning meetings and contribute to continuous improvement of event operations
  • Follow and promote safety best practices at all times
  • Represent the organization with professionalism and a strong customer service focus
  • Cover Catering and Event Staff duties during breaks or as needed for an event/shift
  • Perform other related duties as assigned
