About The Position

The Care Coordinator is responsible for building strong relationships with patients, staff, funders, and referral sources by providing efficient administrative support and coordinating clinic activities with professional service. Key responsibilities include patient intake, data entry, managing communications (phone, faxes, emails), invoicing, and processing payments.

Requirements

• High School Diploma or equivalent required
• Strong organizational and multitasking skills in a fast-paced environment
• Excellent communication (verbal and written) and customer service skills
• Proficient in computer systems, including Microsoft Office Suite
• Flexible, adaptable, and responsive to changing priorities
• Ability to work both independently and collaboratively as part of a team

Nice To Haves

• Post-secondary education in Medical Office Administration or related field is an asset
• Previous experience with EMR/Case Management systems considered an asset
• Previous experience in a physiotherapy or multidisciplinary healthcare clinic is considered a strong asset

Responsibilities

• Deliver a professional front-desk experience by managing calls, greeting patients, and addressing inquiries
• Coordinate accurate patient intake and maintain up-to-date records throughout treatment
• Assist patients with completing documentation to ensure accuracy and completeness
• Schedule appointments and manage patient records efficiently
• Collect payments at time of service and submit insurance claims to third-party funders
• Perform data entry and billing in accordance with clinic procedures
• Manage incoming and outgoing communications, including mail, courier, and fax
• Provide administrative support to the Care Coordinator Manager and Clinic Director
