About The Position

Reporting directly to the Supply Chain Procurement and Sourcing Director, the Capital Equipment Project Coordinator is responsible for supporting the Capital Equipment Program Manager and coordinating activities associated with specific, complex capital acquisition and equipment replacement projects, including requisition intake, cross-functional scheduling, vendor communication, data management, document preparation, and process tracking. Working under general supervision with some independent judgment required, this role directly assists the Capital Equipment Program Manager while collaborating with Capital Equipment leadership, Supply Chain staff, Clinical Engineering/Biomed, Facilities, clinicians, and vendors to implement capital procurement objectives in support of identified health system goals and the continuous improvement process. Responsible for ensuring effective communication among stakeholders, managing data on capital project milestones and spend, and facilitating the deployment of capital equipment strategies that optimize cost-effective acquisition, delivery, installation, and asset lifecycle management.

Requirements

  • High school diploma or equivalent experience.
  • Two (2) years of college coursework in Business, Project Management, Human Services, or related field.
  • Five (5) years progressively responsible experience in administration/customer service, with at least one (1) year of project coordination experience.
  • Demonstrated experience in drafting, editing and creating written communications and/or reports.
  • Experience providing administrative support.
  • Experience in a health care setting.
  • Experience with information collection management systems.
  • Experience with collaborative online tools to support distributed project teams (MS Project, Wikis, web surveys).

Nice To Haves

  • Bachelor’s Degree in Business, Project Management, Marketing, or related field.
  • At least three (3) years’ experience serving as a project coordinator.
  • Experience working on process improvement projects.
  • Demonstrated excellence in database management and information collection management systems.

Responsibilities

  • Coordinates the process of executing initiatives essential for the success of the Capital Equipment Program. Directly supports the Capital Equipment Program Manager and Capital Procurement by facilitating Capital Steering Committees and project review meetings, which includes managing request intakes, agendas, scheduling, quote reviews, and cross-functional participation across Clinical Engineering, IT, Facilities, and department leadership.
  • Responsible for ensuring effective communication among clinical, operational, and technical stakeholders regarding capital purchasing activities and project statuses. Assists the Capital Equipment Program Manager in facilitating the deployment of the capital equipment strategy, drafting and editing written communications, progress reports, and departmental updates to share key capital workflow milestones and expenditure tracking.
  • Manages data on capital project effectiveness by tracking all capital approval decisions, purchase order statuses, quote comparisons, cost savings, and budget allocations using designated capital management software, databases, and ERP tracking tools to provide detailed reporting for the Capital Equipment Program Manager.
  • Supports the Capital Equipment Program Manager and Capital Procurement by coordinating vendor quote reviews, equipment trials, and side-by-side technical specification comparisons with clinical and facility partners. Coordinates site readiness, delivery timelines, dock logistics, and installation scheduling with suppliers, rigging teams, and facility managers to align with capital project schedules and minimize operational disruption.
  • Supports the Capital Equipment Program Manager and Capital Procurement by assisting supply chain and asset management staff with cataloging capital items, coordinating asset tagging with Clinical Engineering, and updating information systems to ensure accurate capital reporting. Implements a variety of solutions that optimize capital project execution, quote-to-PO workflows, invoice reconciliation, and project closeout documentation processes.
