About The Position

The Canine Adoptions Counselor role is responsible for facilitating adoptions, customer service, cash handling, and matchmaking to help dogs find new families. This position requires providing and maintaining excellent customer service at the KC Campus for Animal Care, working as a team with other staff members and volunteers. The role involves representing KC Pet Project professionally and enthusiastically, greeting and assisting guests, and responding to inquiries to ensure excellent customer service. It also includes promoting repeat business through strong customer relations, conducting adoption discussions, and educating new adopters on animal behavior, training, vaccinations, microchips, and necessary paperwork. The counselor will also perform virtual adoptions, organize adoption materials, complete adoption transactions accurately in PetPoint, and schedule veterinary appointments. A key part of the role is acting as a matchmaker to connect potential adopters with dogs, maintaining animal inventory in Airtable, and handling daily cash and credit card transactions, including soliciting donations. The position requires polite and meaningful engagement with volunteers, teaching, and mentoring them to meet departmental needs, and adhering to all KCPP policies and procedures, as well as local and state requirements. Regular communication with the manager and active contribution to problem-solving are expected, along with performing other assigned duties.

Requirements

  • High school diploma or equivalent.
  • At least one year of experience in a customer service position is required.
  • Any combination of training and experience which demonstrates the knowledge and skills necessary for this position.
  • Ability to handle pets safely and with kindness always, without exception.
  • Excellent time management ability; able to juggle multiple deadlines and contradictory projects.
  • Strong organizational and analytical skills; being able to make decisions in an environment of competing priorities that are in the best interest of the animal and the organization.
  • Communicate effectively both verbally and in writing with superiors, colleagues, and individuals inside and outside of KCPP, display tact and above average communication and customer service skills.
  • Must be able to maintain confidentiality.
  • Must be able to convey a positive and professional image to the public and employees.
  • Must be able to report to work at the scheduled time; ensure the department is ready to open on time each day, can be depended on to complete work in a timely, accurate, and thorough manner and is conscientious about assignments.
  • Basic Computer Literacy (Microsoft Office, ability to learn PetPoint Database system and AirTable, etc.).
  • Must be able to lift up to 50 lb.
  • Must be able to sustain long periods of standing, bending, stooping, reaching and animal handling and restraint for various activity levels of animals in an animal shelter-type setting.
  • Must be able to effectively manage and navigate the emotional aspects of animal welfare.

Responsibilities

  • Facilitate adoptions, customer service, cash handling, and matchmaking.

  • Perform virtual adoptions as needed.
  • Organize and maintain all materials necessary for adoptions.
  • Complete animal adoptions, ensuring all transaction paperwork and computer records are complete and accurate in PetPoint.
  • Schedule animals for veterinary appointments as needed.
  • Act as a matchmaker to help potential adopters identify dogs they’d like to meet.
  • Maintain the animal inventory in Airtable.
  • Responsible for daily cash handling, credit card transactions, and soliciting financial donations.
  • Assist with acknowledging and putting away in-kind donations.
  • Engage politely and meaningfully with volunteers and ensure a positive and welcoming environment.
  • Teach and mentor volunteers to ensure their success in meeting the department’s needs.
  • Adhere to all KCPP organizational and departmental policies and procedures, and to all local and state requirements.
  • Communicate regularly with their manager about departmental issues and actively contribute to problem solving.
  • Perform other duties as assigned.
