About The Position

The Campus Administrator, at The Potter's House, plays a vital role in supporting transformational programming and operations. This individual provides key administrative support to the Campus Director and ensures smooth execution of daily, weekly, and monthly activities across a dynamic environment serving men in long-term recovery.

Requirements

  • Strong computer literacy, especially in MS Office and scheduling platforms
  • Experience managing calendars, internal communications, and administrative systems
  • Detail-oriented with exceptional organizational and time management skills
  • Excellent verbal and written communication abilities
  • Strong interpersonal skills, with the ability to maintain professionalism and boundaries in a high-energy male shelter environment
  • Demonstrated ability to manage multiple priorities and remain calm under pressure
  • Tech savvy and resourceful; able to work independently and as part of a team
  • Valid driver’s license and clean MVR (required for driving company vehicles)
  • Occasional evening and weekend availability required

Nice To Haves

  • Previous experience in fast-paced, human services or ministry settings preferred
  • Crisis intervention training or certification – preferred

Responsibilities

  • Provides administrative support to several leaders and works with employees at all levels to complete projects of a complex and confidential nature
  • Receives and responds to routine correspondence following established procedures not requiring management review
  • Coordinates activities between departments and outside parties
  • Assists with Client management
  • Maintains petty cash, disburse funds as approved while keeping accurate records and documentation
  • Orders, monitors and disperses office supplies
  • Tracks client progress within client database including intake, assignments, level changes, discharges, class attendance, and progression.
  • Responds to inquiries or complaints from clients, volunteers, agencies, or business community
  • Sends weekly schedule of classes and meetings via email
  • Monitors the approved movers schedule to ensure client progress
  • Coordinate team meetings, and take notes and share with the team to ensure everyone stays on task
  • Coordinates ongoing development and scheduling of 8 week rotation of classes and produces weekly schedule and updates Salesforce for attendance tracking
