About The Position

Trail West Lodge is seeking an Administrative Assistant to serve as the primary Family Camp Booking Registrar. This role guides families from their initial reservation through their entire stay at camp, coordinating reservations for over 440 families annually. The ideal candidate is highly organized, enjoys building relationships, communicates with warmth and professionalism, and excels at managing multiple details while following through on commitments. Trail West Lodge aims to provide guests with a meaningful family vacation and is committed to the professional, personal, and spiritual development of its staff, offering a high level of hospitality. As Young Life's only nationally run family camp, it hosts families from across the country during the summer and Christian retreats/conferences in the spring and fall. The lodge operates seasonally from March to November, with winter months dedicated to project season. Trail West is located near Buena Vista, Colorado, offering outdoor activities.

Requirements

  • Bachelor’s degree or equivalent work experience.
  • Minimum of 1 year of administrative experience.
  • Fluency with Microsoft Office applications, and an ability to learn and use all Young Life internal systems.
  • Demonstrate understanding of Young Life ministry, strategy, and mission.
  • Strong organizational skills and attention to detail.
  • Compelling desire to help people.
  • Positive attitude and shows initiative.
  • Ability to manage time of self and others.
  • Ability to find answers to questions.
  • Able to perform under stress, noise and interruptions.
  • Must be able to convey a sense of Christ-like hospitality and concern for guests and staff.

  • Actively contribute in administration department prayer and devotional times, as well as all camp staff worship and prayer times.
  • Build relationships that reflect the character of God with guests, staff, vendors and neighbors to foster healthy community.
  • Maintain healthy relationships with administrative department, serving wholeheartedly alongside other members of the team.
  • Assist other departments with administrative tasks as needed.
  • Partner with summer assigned teams and seek to help them with ministry goals while at camp.
  • Assist with leadership of summer volunteers serving in the camp office.
  • Demonstrate a posture of service that anticipates guest needs and responds with professionalism through intentional decisions and systems.
  • Offer hospitality to all camp guests, whether in-person, over the telephone or in writing.
  • Assist with administration of reservation systems as directed by Administrative Manager.
  • Engage in selection, communication and arrival logistics for summer guests, including volunteers, adult guests, medical volunteers and summer interns.
  • Maintain professional written and verbal communication to serve staff, guests and vendors at camp.
  • Exemplify a posture of financial stewardship and integrity.
  • Model and lead a posture of comprehensive stewardship of the camping administration department to administrative volunteers and interns.
  • Exemplify continued stewardship of time, personal integrity, service, spiritual devotion, compassion, work ethic and commitment to the ministry.
  • Develop skills needed to act on behalf of the Administrative Manager in all aspects of the camp accounting process, including collection and reconciliation of petty cash accounts.
  • Assist with monthly financial/statistical reports as directed by administrative manager.
  • Manage office supplies and maintain office cleanliness and organization; work with vendors to secure cost-effective solutions to high-demand items; coordinate with other departments to streamline office supplies orders.
  • Demonstrate a desire to grow through engagement in the Individual Development Plan process and participation in training and development opportunities.
  • Intentionally pursue opportunities personal growth and development.
  • Develop understanding of operations in order to serve in Administrative Manager’s absence.
  • Execute daily responsibilities with attention to the standards and metrics required for excellent camp operations.
  • Maintain Young Life office reception standards.
  • Learn and follow national admin policies.
  • Participate in Young Life Pace Call trainings.
  • Engage with camp meetings and spiritual development opportunities.
