About The Position

The Hospital Buyer is responsible for procuring medical supplies, equipment, services, and contracts in a timely and cost-effective manner to support hospital operations and patient care. This role processes purchase requests, negotiates with vendors, ensures compliance with purchasing contracts and group purchasing agreements, monitors inventory shortages and backorders, resolves invoice and purchase order issues, and collaborates with clinical and operational departments to maximize cost savings, standardization, and quality outcomes. Strong analytical, negotiation, and customer service skills are essential to maintaining efficient supply chain operations and supporting organizational goals.

Requirements

  • Associates Degree or equivalent
  • 3 years experience

Responsibilities

  • Processes requests for contracts, supplies, equipment and services in accordance with established departmental and Mount Sinai Centers policy and procedures.
  • Negotiates supplies, service contracts and capital equipment purchases as assigned by Management.
  • Reacts promptly to the needs of the departments by processing electronic requests within twenty-four (24) hours, and requisitions with forty eight (48) hours.
  • Edits incoming electronic or paper purchase requisitions for accuracy, adequate description and proper authorizing of product or services required.
  • Modifies as necessary to assure the product or service requested is acquired in the most cost-effective manner.
  • Participates in Value Enhancement programs by providing procurement and usage information to maximize cost savings and standardization.
  • Supports Mount Sinai Centers GPO by assuring contractual compliance in the required committed and contracts.
  • Provides support to the Value Enhancement Committees by providing procurement and usage information.
  • Work with the VET Committees to maximize cost savings and standardization while providing products and services that enhances quality patient care for Mount Sinai Medical Center.
  • Assists Mount Sinai/Miami Heart Medical Center personnel in forecasting supply needs and present alternatives for supplies and supply sources, including the availability of appropriate Premier agreement.
  • Communicates with Management and appropriate Inventory Staff on stock out and/or manufacturer backorders and researches and recommend alternative products as needed or requested.
  • Maintains the "Open Purchase Order" report current.
  • Assists Receiving and Accounts Payable departments by clearing "Buyer Messages" within forty-eight (48) hours of being put on hold to avoid late payments and vendor credit holds.
  • Coordinates adjustments and product returns as necessary with Receiving and Accounts Payable and assure receipt of vendor credit.
  • Communicates with Receiving personnel regarding overnight deliveries to ensure emergency orders are expedited and delivered to the requisitioning department.
  • Assures accuracy and timeliness of data records and acquisition transactions in the ESI System.
  • Responses immediately in a positive manner when called upon for additional or special assignments.
  • Responsible for resolving open orders and invoice issues with Accounts Payable, other Departments and/or vendors.
