About The Position

The Business Systems & Strategic Sourcing Coordinator supports the Business Systems & Solutions Manager by providing analytical, project, and implementation assistance across strategic sourcing, competitive solicitations, contracts, business systems, workflow improvements, and cross-functional initiatives. The position helps translate business needs into practical solutions, supports system and process builds, coordinates testing and implementation activities, and develops documentation, reports, and project deliverables. The role is designed to expand organizational capacity and provide trained continuity for selected responsibilities within Business Systems & Solutions.

Experience supporting system implementations, workflow automation, testing, reporting, or business-process improvement initiatives.
Strong written and verbal communication skills, including the ability to prepare professional correspondence, procedures, reports, presentations, and executive summaries.
Ability to manage multiple assignments, follow through on action items, and work independently within established priorities and deadlines.
Proficiency with Microsoft 365, including Word, Excel, PowerPoint, Teams, SharePoint, and related productivity tools.
Ability to learn new systems quickly and apply sound judgment within established governance, security, and internal-control requirements.
Ability to collaborate effectively with leaders, staff, vendors, consultants, and cross-functional project teams.
Self-motivated, adaptable, proactive, and able to work effectively in a changing environment.

Nice To Haves

Advanced Excel, data analysis, reporting, dashboard, or process-mapping experience is strongly preferred.
Experience with NetSuite, Next Process, Smartsheet, Microsoft Power Platform, Power BI, or comparable enterprise systems is desirable.
Bachelor’s degree in business administration, supply chain, procurement, information systems, project management, or a related field is preferred; relevant experience may be considered in lieu of a degree.
At least three years of relevant experience in business analysis, strategic sourcing, procurement projects, system implementation, process improvement, project coordination, or a comparable role is preferred.
Experience developing or supporting RFPs, workflows, business requirements, testing, procedures, reports, or system solutions is strongly preferred.

Responsibilities

Supports strategic sourcing initiatives by conducting market research, identifying potential suppliers, analyzing options, and preparing sourcing recommendations.
Assists with the development and administration of Requests for Proposals (RFPs), Requests for Quotations (RFQs), and other competitive solicitations, including timelines, bidder communications, evaluation tools, and documentation.
Prepares bid comparison matrices, spend analyses, vendor assessments, and other reports to support transparent and informed procurement decisions.
Supports contract and vendor-management activities, including document coordination, renewal tracking, due diligence, performance information, and follow-up with internal stakeholders and suppliers.
Gathers and documents business requirements through interviews, process reviews, and stakeholder meetings.
Assists with the design and build of forms, workflows, dashboards, reports, automations, and other business solutions within approved enterprise platforms and governance standards.
Supports system implementation activities, including configuration documentation, test-script development, user acceptance testing, issue tracking, data validation, rollout coordination, and post-implementation support.
Documents current and future-state processes and prepares standard operating procedures, policies, job aids, training materials, and process maps.
Coordinates assigned projects by maintaining work plans, milestones, action items, risks, decisions, and status updates.
Analyzes operational and system data to identify trends, control gaps, efficiency opportunities, and recommended improvements.
Supports data cleanup, reconciliation, migration, and reporting activities associated with procurement, inventory, financial, and business systems initiatives.
Prepares presentations, meeting materials, executive summaries, and written recommendations for leadership and project stakeholders.
Collaborates with Finance, Information Technology, Facilities, ministry departments, vendors, and consultants to support project and operational objectives.
Maintains organized project files, procurement records, system documentation, and decision history in accordance with records-management requirements.
Protects confidential information and follows internal controls, approval requirements, segregation-of-duties standards, and established governance procedures.
Becomes cross-trained in selected responsibilities to provide continuity and support during planned or unplanned absences of the Business Systems & Solutions Manager.
