About The Position

The Business Support Specialist role is designed for a highly organized, service-oriented, and proactive individual who will contribute to maintaining a safe, functional, and welcoming environment. Key responsibilities include greeting guests, monitoring building conditions, coordinating with vendors, assisting with event setup, and managing maintenance or safety issues through the company’s ticketing system. This position demands strong communication skills, meticulous attention to detail, and the ability to effectively multitask in a dynamic, fast-paced setting. The Business Support Specialist is expected to exceed client expectations by ensuring the property is well-maintained, adheres to safety standards, and meets high-quality benchmarks.

Requirements

  • High school diploma or equivalent required.
  • Proven experience within reception, Google Suites, CMMS systems, high client expectations, concierge, and events, preferably in an office setting.
  • Ability to multitask in high-traffic environments.
  • Able to maintain badge stock, follow badging and security procedures, and provide permanent/temporary badges as needed.
  • Understanding of building systems (HVAC, lighting, access control, intense security protocols).
  • Able to identify and report facilities issues during rounds (signage standards, safety hazards, spills, damage, outages).
  • Experience with preventive maintenance concepts.
  • Familiarity with vendor coordination (janitorial, security, building engineers, food and beverage, etc).

  • Experience with CMMS systems and Google Suites preferred.

Responsibilities

  • Provide a warm, professional front-desk presence, assisting with access, vendor escorts, and badging issues.
  • Conduct regular checks of conference rooms, verifying lighting, meeting equipment, furniture, and supply stocking.
  • File tickets for any malfunctioning meeting equipment.
  • Update and replace building signage on a weekly basis.
  • Support new hire tours by showcasing the property and answering site-related questions.
  • Collaborate with the Facilities Coordinator to monitor, control, and replenish office supplies.
  • Offer timely and courteous event support, adapting to last-minute changes, including decor, food and beverage setup, moving furniture, stocking supplies, connecting power, checking equipment, hanging signs, and coordinating janitorial support. Maintain inventory of event supplies.
  • Set up and perform daily checks/resets of shared desks according to client standards, and assist teams with monitor, cord, or AV issues.
  • Assist with badge access management, including activation, creating access tickets, and managing temporary badge extensions, ensuring all personnel have proper access and resolving access issues.
  • Provide administrative and organizational support, including calendar management, ordering supplies, data entry, spreadsheet updates, and managing visitor and contractor escorts.
  • Be on call for emergency maintenance issues and respond promptly.
  • Maintain accurate records of maintenance work, including work orders, preventive maintenance logs, and equipment service history.
