About The Position

Citizens Private Bank and Citizens Wealth Management have accelerated their strategy to build out Private Banking, Wealth Management, and expand in key growth markets. We’re looking for talented individuals with a demonstrated track record of delivering white glove administrative and executive support. Two dynamic, industry leaders have been appointed to the roles of Head of Platform Transformation – Citizens Private Bank and Wealth, and Private Bank Chief Operating Officer. In the Business Support Manager role, the candidate will be a critical team member in executing the strategies and activities related to growing the Citizens Private Bank and Citizens Wealth Management business lines while supporting these key leaders. This requires high attention to detail and quality, excellence in communication, a focus and commitment to results, and the willingness to put in the additional effort for a flawless outcome. The Business Support Manager will have the ability to work independently on and manage multiple projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Duties include scheduling of appointments, preparation of external / internal correspondence, telephone/visitor screening, arranging complex and detailed travel arrangements, coordination of meetings and receptions, preparation of presentation materials, maintenance / filing of documents, preparation of expense reports. May perform ongoing maintenance to various data bases and generate reports. Assist in arranging large colleague meetings/events including senior leadership staff and travel to facilitate these meetings.

Requirements

  • Demonstrated ability to provide a high level of service
  • 3-5 years prior Executive Administrative experience supporting leaders in large organizations and calendar management in a high touch experience business - preferably in the private banking and/or wealth management industry.
  • Proficient use of Microsoft Office applications to include Microsoft Project, Excel, Teams, Visio, PowerPoint, Word and Outlook.
  • SharePoint knowledge a plus
  • Work effectively as part of a team in a fast-paced environment
  • Tech savviness – ability to learn new software quickly and effectively
  • Initiative and can-do attitude – able to take on any other responsibility or project as assigned
  • Flexibility to work on a variety of projects and teams simultaneously
  • Strong prioritization and problem-solving skills
  • Attention to detail and sensitivity to deadlines
  • Effective communication skills, both written and verbal
  • Strong project management skills
  • Bachelor’s Degree

Responsibilities

  • Manage multiple projects simultaneously/in a timely manner
  • Coordinates internal/external meetings, conference calls, and domestic/international travel.
  • Schedule management for Senior Leadership staff
  • Displays excellent communication skills in working with clients (internal/external), and vendors
  • Reports and presentations including advanced graphics
  • Accurately tracks expenses/process and submit expense reports in a timely manner
  • Distributes agenda, meeting packages, and responsible for meeting minutes
  • Travel will be required to facilitate and attend meetings, maintaining a timely agenda and coordinating all other attendees’ travel
