Requirements

  • 7 plus years of proposal management, proposal writing, or RFx experience supporting enterprise software or SaaS sales organizations.
  • Hands-on experience orchestrating complex, multi-stage enterprise pursuits (RFP, demos, BAFO) using structured processes, collaboration hubs (e.g., Microsoft Teams / SharePoint, Salesforce), and AI-enabled proposal tools.
  • Demonstrated success managing complex enterprise RFP and RFI responses from kickoff through submission.
  • Exceptional writing, editing, and business communication skills.
  • Strong project management skills with the ability to prioritize multiple concurrent proposals.
  • Experience collaborating across Sales, Presales, Product, Services, Legal, Security, and Executive stakeholders.
  • Demonstrated ability to work with AI-enabled proposal and research tools including strong judgment in validating and editing AI-generated content for accuracy, tone, and compliance.
  • Ability to simplify complex technical concepts into clear, customer-focused messaging.
  • Experience with proposal management platforms such as Loopio, Responsive (RFPIO), Qvidian, or similar solutions.
  • Advanced Microsoft Office skills, particularly Word, Excel, and PowerPoint.
  • Self-starter who works independently with minimal supervision and consistently delivers high-quality work.

Nice To Haves

  • Experience supporting configurable enterprise SaaS software.
  • Experience with pension administration, retirement services, insurance, or financial services technology.
  • Familiarity with enterprise procurement processes and strategic software evaluations.
  • Experience supporting cloud software, enterprise platforms, or business-critical applications.
  • APMP certification is a plus.

Responsibilities

  • Own the standardized Lead to Close / Bid Management process for assigned pursuits, including Bid/No-Bid orchestration, AI-enabled research and qualification, RFx project plan and tracker setup, kickoff and status governance, finalist demos, Best and Final Offer (BAFO) responses, and RFx follow-up questions.
  • Manage multiple strategic proposal projects simultaneously while meeting aggressive customer deadlines.
  • Analyze customer requirements and develop response strategies that are accurate, compliant, persuasive, and aligned with our value proposition.
  • Leverage internal AI agents and generative AI tools to accelerate research, qualification, content development, and presentation refinement throughout the RFx lifecycle.
  • Continuously refine how AI tools are used in the RFx process, including prompt design, quality control, and integration of AI outputs into proposal content and pursuit strategy.
  • Partner with Sales, Services, Product Management, Engineering, Legal, Security, and Customer Success to gather technical and business content.
  • Write, edit, and refine proposal responses that clearly communicate product capabilities, competitive differentiators, and customer value.
  • Ensure proposal quality through rigorous editing, formatting, version control, and compliance reviews.
  • Maintain and continuously improve proposal content libraries, reusable response templates, and knowledge assets.
  • Identify content gaps and proactively develop new proposal content that improves response quality and efficiency.
  • Recommend process improvements that shorten response times while increasing proposal quality and consistency.
  • Contribute to win/loss reviews and incorporate lessons learned into future proposals.
