About The Position

The Department of Ophthalmology has an opening for a full-time Business Services Principal Professional. This role will be responsible for managing the business, fiscal, and administrative operations for the offices of the Chair of the Department of Ophthalmology, and the Director of Finance and Administration for the Department of Ophthalmology. This position will be in charge of managing projects, communications, calendars, events, appointments and clinical scheduling, travel, reimbursements and official functions of the chair and the DFA. This position will be the responsible point of contact for the administrative support team and general department inquiries. This position will work closely with the Directors of Finance and Operations to help achieve objectives and ensure goals align with the Department of Ophthalmology initiatives. This position will lead the implementation of AI-powered tools to support the administration of the Office of the Chair and the Director of Finance and Administration. The role will research, test, and develop methods and tools that track productivity, support agenda development, generate summary notes, automate routine workflows, and enhance the overall capabilities of the Chair and DFA through responsible use of automation and agentic AI. This work will be completed in partnership with department leadership, campus AI leaders, and other administrative stakeholders to improve work processes, strengthen executive support, and share best practices across the department and broader administrative community. A successful candidate will have a track record of approaching problems with curiosity and the ability to find creative and technology-driven solutions in addition to superior people skills and a high level of emotional intelligence.

Requirements

  • Bachelor's degree from an accredited institution
  • 3-5 years of professional experience in full cycle administrative support and business operations, supporting executive level management
  • Substitution: A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.
  • Applicants must meet minimum qualifications at the time of hire.

Nice To Haves

  • At least 4 years of experience providing administrative support to an executive/vice chair/VP in higher education or an academic healthcare setting
  • Extensive, diverse and progressively responsible experience, including direct responsibility for managing customer centric positions and office support responsibilities.
  • Experience managing executive level calendar, scheduling, event planning.
  • Experience working with University of Colorado systems (Concur, CU Marketplace, etc.).
  • Ability to communicate effectively, both in writing and orally.
  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.
  • Outstanding customer service skills.

Responsibilities

  • Oversees the day-to-day functions of the unit
  • Schedule and coordinate meetings for projects with agendas.
  • Proactively coordinate travel and reconcile associate expenses
  • Plans and executes department-wide events on behalf of the Chair and DFA including developing budgets, tracking and reconciling expenses, negotiating contracts with vendors, managing timeline of the event.
  • Provide project management for Department initiatives led by Chair and DFA, developing processes, utilizing tools to track projects status and communicate updates and action items to key contributors inside and outside of the Department.
  • Develop SOPs in the use of AI-powered tools
  • Create and maintain project dashboards or tracking tools to monitor Chair and DFA initiatives, deadlines, owners, milestones, risks, and follow-up items.
  • Develop reporting processes that summarize project status, event outcomes, budget activity, and operational priorities for review by the Chair, DFA, and department leadership
