About The Position

GDC IT Solutions is currently seeking a Business Process Administrator – Software Procurement & Renewals to work in a hybrid capacity, with 2 days on-site per week supporting the Conservation and Environment Delivery Center. This position requires strong organizational and customer service skills and offers the opportunity to play a key role in managing the Commonwealth’s complex software procurement approval and renewal processes. As a Business Process Administrator – Software Procurement & Renewals, you will be responsible for managing and facilitating the Commonwealth’s software procurement approval workflow and overseeing the tracking of more than 100 active software renewals. You will serve as a primary point of contact for supported agencies, ensuring business requirements are accurately documented, approvals are processed efficiently, and stakeholders remain informed throughout the lifecycle of each request.

Requirements

  • 3+ years of full-time experience working directly with customers in a service, support, or coordination-focused role.
  • 2+ years of full-time experience managing projects, programs, or administrative processes, including informal or non-titled project management experience.
  • 1+ year of experience supporting or coordinating vendor relationships.
  • Strong leadership, organizational, and time management skills.
  • Demonstrated ability to manage complex processes with high attention to detail.
  • 3+ years of full-time experience working directly with customers in a professional environment.
  • 2+ years of full-time experience in procurement, program management, or process administration.
  • 1+ year of experience in vendor management.
  • Strong leadership, organizational, and coordination skills.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage multiple concurrent priorities in a complex, process-driven environment.

Responsibilities

  • Manage and oversee the Commonwealth’s software procurement approval process from intake through final approval, ensuring compliance with established policies and procedures.
  • Maintain and actively manage centralized tracking of more than 100 software renewals, including monitoring timelines, coordinating renewal activities, and ensuring accurate and timely status reporting.
  • Serve as the primary point of contact and subject matter expert for agency staff and Delivery Center personnel regarding the software approval and renewal processes.
  • Gather, document, and validate detailed business requirements from agency customers to support procurement and approval submissions.
  • Prepare, compile, and submit required documentation to legal, security, and administrative approvers to ensure complete and accurate review packages.
  • Facilitate meetings with cross-functional stakeholders including legal, security, business, and administrative teams to support timely approvals.
  • Collaborate with vendors to communicate Commonwealth requirements and obtain required documentation, including cloud use and compliance materials.
  • Review and interpret contract agreements and related business documents, providing input as needed to support approval decisions.
  • Research existing enterprise solutions to determine whether current tools meet documented business needs prior to initiating new procurements.
  • Maintain and update the enterprise software catalog to ensure vendor product offerings and agreement requirements are current and accurately reflected.
  • Provide guidance to agency customers regarding approval processes, policies, and procedural requirements.
  • Track and manage the backlog of procurement and approval requests, proactively following up to ensure progress and resolution.
  • Facilitate requests for additional information that arise during the review and approval lifecycle.
