We're looking for a versatile operations professional to join our IT team in a role that blends executive administration, financial operations, and governance, risk, and compliance (GRC) coordination. This is a high-trust, high-visibility position for someone who thrives on variety: one day you might be reconciling IT spend and managing vendor renewals, the next coordinating evidence collection for an audit, and the next making sure hardware ships to a new hire on time. You'll act as the operational backbone of the IT organization — keeping the team's finances, purchasing, logistics, and compliance programs running smoothly, and serving as the connective tissue between IT, auditors, finance, and the broader business.

Requirements

  • 2–4 years of experience in business operations, IT operations, finance administration, or a similar hybrid role.
  • Working knowledge of accounting fundamentals (POs, invoicing, accruals, budget tracking); experience with ERP/accounting system is a plus.
  • Familiarity with GRC concepts and audit processes — you don't need to be a security expert, but you should be comfortable coordinating audits and chasing down evidence and owners.
  • Exceptional organizational skills and attention to detail; able to juggle many workstreams without dropping balls.
  • Strong written and verbal communication; comfortable working with executives, engineers, auditors, and vendors alike.
  • High discretion and sound judgment handling confidential financial and organizational information.
  • Proficiency with spreadsheets and productivity tools; experience with procurement, asset management, or GRC platforms a plus.

  • Experience supporting a SOC 2 or ISO 27001 audit cycle end-to-end.

Responsibilities

  • Provide administrative support to IT leadership, including calendar management, meeting coordination, agendas, and follow-ups.
  • Prepare reports, presentations, and internal communications on behalf of the team.
  • Coordinate team events, onboarding logistics for new IT hires, and cross-departmental scheduling.
  • Maintain team documentation, trackers, and shared resources.
  • Own day-to-day IT financial operations: budget tracking, accruals, invoice processing, and monthly spend reconciliation.
  • Partner with Finance on forecasting, variance analysis, and annual budget planning for IT.
  • Track software license, SaaS subscription, and hardware costs; identify savings opportunities.
  • Manage cost allocations and chargebacks where applicable.
  • Manage the IT procurement lifecycle: quotes, purchase orders, approvals, receiving, and invoice matching.
  • Maintain vendor relationships and track contract renewal dates, terms, and SLAs.
  • Coordinate with Legal and Finance on contract review and vendor onboarding.
  • Manage inbound and outbound hardware logistics, including equipment for new hires, returns from departing employees, and RMAs.
  • Maintain accurate asset and inventory records in coordination with the IT team.
  • Handle international and domestic shipping requirements, customs documentation, and carrier relationships as needed.
  • Lead coordination of GRC activities across IT, internal stakeholders, and external auditors.
  • Manage audit calendars, evidence collection, and remediation tracking for our SOC 2 and ISO 27001 programs.
  • Maintain policy documentation, control matrices, and risk registers.
  • Track and report on compliance status to leadership; drive accountability for open items.
  • Coordinate security questionnaire responses and customer compliance requests in partnership with IT and Sales.
