About The Position

Business Operations Associate at Whippy. Whippy is the AI native platform for business communication with over 1,000 customers, bootstrapped, profitable, and a category leader in staffing and HR. The CEO currently handles billing, vendor invoices, support triage, contract prep, recruiting coordination, and meeting logistics. This role will take over these responsibilities, improve them, and eventually transition into strategic work closer to the CEO. The position offers significant learning opportunities about business operations and decision-making within a fast-paced environment.

Requirements

  • One to three years of experience post-graduation.
  • Demonstrated ability to outwork and outthink peers (e.g., ran something, built something, worked through school, competed seriously, or was indispensable to a previous team).
  • Exceptional organization skills.
  • Ability to write clean, professional English quickly.
  • Fluency with spreadsheets.
  • Experience using AI tools to enhance work speed.
  • Strong judgment and the ability to identify and address needs proactively before being assigned.
  • Willingness to handle all tasks, including those considered 'grunt work' like billing.
  • Ability to work independently with less detailed instructions.
  • Adaptability to a role that expands and changes over time.

Responsibilities

  • Monitor Stripe for failed payments and overdue invoices, chase them to resolution, and reconcile checks.
  • Keep HubSpot, PandaDoc, Stripe, and the internal database in sync to ensure customer contracts, usage, and payments always match.
  • Prepare paperwork for deal closures, update billing, and send recaps for upgrades and renewals.
  • Process vendor invoices on schedule and handle customer requests on the same day.
  • Manage inbound routing, ensuring all issues landing with the CEO are resolved or routed with follow-through until closed.
  • Handle recruiting operations, including applicant responses, sourcing tools, interview scheduling, and pipeline tracking.
  • Manage CEO operations, including meeting preparation, follow-up tracking from calls, and recurring tasks.
  • Conduct new market research for industry expansion, sizing opportunities, and building briefs for strategic decisions.
  • Model pricing scenarios for enterprise deals, partner revenue shares, and new products.
  • Research partnership and channel ecosystems to identify potential customer bases.
  • Undertake special projects requiring analysis, scoping, or problem-solving as directed by the CEO.
