The Finance team supporting the division is a shared services unit that provides oversight and management of resources for a complex university division which includes an annual operation of $160 million in multiple funding sources (state appropriations, student fees, auxiliaries/receipts, gifts, and grants), 600 professional staff and faculty, over 3,000 temporary and student staff, and over 50 departments. The Finance team oversees all budget, finance, and student biweekly payroll functions for the division. The Business Officer serves as a key member of the Division of Academic and Student Affairs Finance Team, supporting division-wide fiscal health through expert procurement oversight, budget planning, financial management, and compliance. In this role, you will guide unit leaders across the division, manage high-volume financial activity, and ensure accurate, policy-aligned operations across multiple fund types and enterprise systems. Requirements

  • Require post-baccalaureate credentials plus 1-2 years experience; a bachelor's degree and 2-4 years experience may be substituted for the advanced degree on an exceptional basis.
  • Broad business management knowledge in a large university environment, including academic and auxiliary operations, fund accounting, student fee management, grants, development/foundation funding, HR/payroll, budget analysis, and enterprise financial systems.
  • Analytical ability to evaluate complex or precedent-free issues and recommend sound, defensible solutions.
  • Advanced proficiency with Microsoft Excel and Google Sheets for financial analysis and reporting.
  • Expert-level knowledge of PeopleSoft Financials or comparable enterprise financial management software.
  • Demonstrated capabilities in financial planning, analysis, and management across diverse funding sources.

Responsibilities

  • Accounting, Reporting & Compliance:
  • Serve as a subject matter expert while supporting teammates across fiscal functions.
  • Ensure accurate, compliant financial activity across state, receipt, auxiliary, trust, grant, foundation, and agency funds.
  • Prepare routine and ad hoc financial reports and conduct audits to ensure accuracy and adherence to policy.
  • Maintain advanced proficiency in enterprise systems and financial applications.
  • Budget Planning & Financial Oversight
  • Provide budget planning, monitoring, and advice for units with ~$15M in annual activity across multiple fund types.
  • Meet regularly with Directors and staff to review financial status and spending.
  • Lead annual auxiliary budget planning for assigned units.
  • Procurement & Asset Management:
  • Oversee division procurement, including small and large purchases, p-card activity, contract review, and marketplace transactions.
  • Manage a high-volume p-card program (400+ cards, 14,000 transactions, $5M+ annually).
  • Administer capital asset reporting, mobile device programs, vehicle insurance, and gift card tracking.
  • Training, Mentoring & Team Support:
  • Lead procurement training for new business support staff.
  • Provide division-level mentoring to support onboarding and consistent financial operations.
  • Division & Team Collaboration:
  • Partner with units across the division to strengthen financial stewardship and improve processes.
  • Apply current university, state, and federal fiscal guidelines across all assigned responsibilities.
