About The Position

Golden Years Homestead is seeking a Business Office Manager to join their team. This role is crucial in supporting residents, families, and campus operations by managing financial and administrative functions. The Business Office Manager will serve as a key resource for residents and families, assisting them with billing, financial responsibilities, Medicaid, insurance, and other payment-related processes. This position also involves close collaboration with leadership, clinical, admissions, and accounting teams to ensure smooth and accurate business operations.

Requirements

  • Professional, compassionate, organized, and comfortable working with both people and numbers.
  • Previous business office experience in long-term care, senior living, healthcare, or a retirement community.
  • Knowledge of accounting and bookkeeping principles.
  • Familiarity with Medicare, Medicaid, third-party payer systems, and related billing processes.
  • Previous customer service experience, particularly in healthcare or senior living.
  • Strong organizational skills and the ability to manage multiple priorities.
  • Excellent communication and interpersonal skills.
  • Ability to work independently, take initiative, and solve problems.
  • Comfort using computers, email, internet-based systems, and standard office equipment.

Nice To Haves

  • Bachelor's degree in accounting, business, healthcare administration, or a related field.
  • Experience with MatrixCare accounting, billing, or clinical systems.
  • A genuine interest in working with and supporting older adults and their families.

Responsibilities

  • Manage resident billing, accounts receivable, collections, and account reconciliation.
  • Prepare and review monthly private-pay and long-term care insurance billings.
  • Assist residents and families with Medicaid applications, eligibility, recertification, and related documentation.
  • Monitor Medicaid eligibility and ensure continuous coverage and accurate, timely billing.
  • Coordinate payer verification and determine appropriate payer sources for new residents.
  • Review resident account balances and explain financial responsibilities to families.
  • Work compassionately with residents and families regarding outstanding balances and payment arrangements.
  • Manage the full accounts payable process, including invoice review, vendor verification, authorization, and timely payments.
  • Review and enter charges to resident accounts for services such as therapy, pharmacy, laboratory, radiology, transportation, and others.
  • Maintain accurate resident census and financial records.
  • Assist with month-end processing, reporting, audits, budgets, and financial management activities.
  • Maintain organized and confidential resident files and financial documentation.
  • Partner with the Administrator, Case Manager, Admissions Coordinator, and Greencroft Communities accounting and billing teams.
  • Identify opportunities to improve processes, strengthen internal controls, and enhance business office efficiency.
  • Foster a positive, collaborative team environment.
  • Serve as a Notary Public for healthcare-related documents when needed.
