About The Position

Business Office Manager (BOM) – AL/IL (Private Pay) Tomball Retirement Center is seeking an experienced and service-driven Business Office Manager (BOM) to oversee our financial operations while supporting key HR and administrative functions within our Assisted Living and Independent Living community. This is a high-impact, multi-functional role ideal for someone who thrives in a fast-paced environment and enjoys balancing billing, collections, employee support, and day-to-day operations.

Requirements

  • Previous experience as a Business Office Manager, Office Manager, or similar role in senior living, healthcare, or property management
  • Strong experience with billing, collections, and accounts receivable
  • Experience supporting HR functions such as onboarding, employee files, and payroll
  • Excellent communication and customer service skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office (experience with senior living software a plus)

Responsibilities

  • Manage all monthly resident billing (rent, care levels, ancillary services)
  • Post payments, track balances, and oversee accounts receivable and collections
  • Handle move-in/move-out billing, deposits, and prorations
  • Ensure accuracy and timeliness of all financial records
  • Serve as the primary contact for billing questions and financial discussions
  • Explain charges, rate changes, and financial policies clearly and professionally
  • Support families during move-in and transition processes
  • Maintain employee personnel files and ensure compliance
  • Complete and verify I-9 documentation and onboarding paperwork
  • Assist with new hire onboarding and orientation coordination
  • Support payroll processing, timekeeping, and corrections
  • Ensure accurate and compliant employee documentation
  • Partner with the Executive Director and department leaders to support daily operations
  • Assist with move-ins, transitions, and census-related processes
  • Serve as a central resource for financial and administrative functions across the community
