About The Position

The YMCA of Greater New York is seeking a Business Office HR Coordinator for the Flushing YMCA. This role provides daily Human Resources and Payroll support, as well as some Financial Business support to the branch. Requirements

  • Bachelor’s Degree or equivalent work experience required.
  • One (1) to two (2) years of experience in bookkeeping and/or administrative assistance.
  • Strong computer skills.
  • Detail-oriented and can manage multiple projects simultaneously.
  • Must be able to handle a high volume of work.
  • Excellent customer service and communication skills.

Nice To Haves

  • Knowledge of Human Resources preferred.
  • Knowledge of HRIS is a plus.

Responsibilities

  • Processing of employment and volunteer documents, including entry of screenings into the applicable system.
  • Assisting with Youth & Family screening and agency processing.
  • Conducting new hire orientations and paperwork reviews.
  • Generating and maintaining New Hire Packets and Status Change forms.
  • Timely and accurate data entry into CONNECT: HR.
  • Maintenance and accurate filing of all employee and volunteer files.
  • Notifying appropriate staff/agencies regarding leave requests (FMLA, disability, paid family leave, personal leave).
  • Coordinating medical plan changes and providing benefit information.
  • Providing an overview of health insurance, retirement, direct deposit, etc.
  • Providing vacation hours, sick hours, and personal benefits upon request.
  • Assisting with employment verification requests.
  • Timely response to unemployment claims in the absence of the supervisor.
  • Timely entry of Workers' Comp claims in the absence of the supervisor.
  • Tracking training completions for all branch staff (e.g., Child Abuse Prevention, Preventing Sexual Harassment, Cyber Security Awareness, Active Assailant, Time-Clock Use).
  • Assisting in preparing daily deposits, bank and credit card reconciliation, and reporting.
  • Resolving and tracking chargebacks.
  • Processing accounts payable vouchers and invoices, reconciling with the Accounts Payable system, and updating AP & PO tracking reports.
  • Running open PO and Income-On-Hold (IOH) reports.
  • Handling petty cash flow, auditing receipts, and preparing Accounts Payable reimbursement vouchers.
  • Collecting purchasing card documents and submitting them to the Association Office.
  • Distributing financial reports to branch department heads.
  • Maintaining and updating business office records, including vendor files and archives, in accordance with File Retention guidelines.
  • Assisting with government contract record-keeping and reporting.
  • Acting as a backup for the branch's Administrative Assistants.
  • Assisting with maintaining office equipment and computers, and ordering supplies.
  • Creating and submitting HelpDesk tickets.
  • Ordering and managing the inventory of office supplies.
