About The Position

Our Business Office Concierge will serve as our receptionist while also assisting with the business functions of our senior living community at Parkway Assisted Living and Memory Care in Henderson. A candidate with administrative experience, including onboarding new hires, payroll processing, and overseeing AR/AP, in addition to outstanding customer service skills for our main reception will be successful. In addition to these skills, an all-around team player who enjoys engaging with our residents, their families, and our community, will be given priority in our recruitment process. A candidate can expect a wage of $22.00-25.00/hour, with full-time benefits from PACS. Working hours are Monday-Friday, 8:00 AM-4:00 PM.

Requirements

  • Must possess, as a minimum, a high school diploma or GED.
  • Proficiency in Microsoft Suite products.
  • Proficiency in clerical functions.
  • Proficiency in multi-line phone system.

Nice To Haves

  • Previous administrative assistant or office administration experience preferred.
  • Experience in senior living helpful.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers and employees.
  • Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Responsibilities

  • Provide general administrative and clerical support for the community and the Executive Director.
  • Attend stand-up meetings at the request of the Executive Director.
  • Generate monthly billing statements, including AR/AP reports and duties.
  • Assist the Executive Director with the collection activity for bad debts.
  • Participate in billing and payment processes including preparing bank deposits, and handling and reconciling petty cash.
  • Oversee payroll and employee time keeping.
  • Manage audit records and state survey preparations.
  • Assist with new employee onboarding, background checks.
  • Assign and track employee training and compliance within Relias.
  • Maintain the confidentiality of all resident care information including protected health information. Report known or suspected incidents of unauthorized disclosure of such information.
  • Agree not to disclose residents’ protected health information and promptly report suspected or known violations of such disclosure to the Executive Director.
  • Greet and welcome residents, family members, and other visitors with a friendly and positive demeanor.
  • Answer telephone calls and take messages or forward calls.
  • Check visitors in and direct or escort them to specific destinations.
  • Inform other employees of visitors’ arrivals and cancellations.
  • Maintain visitor sign-in log.
  • Handle incoming and outgoing mail.
  • Maintain and tidy the concierge area.
  • Perform other duties as assigned.
