About The Position

Bishop McNamara High School is a co-ed independent, Catholic day school founded in 1964 by the Brothers of the Holy Cross. The school is located minutes from Washington, DC, serves 890 students, and seeks a Business Office Associate reporting to the Director of Finance. The Business Office Associate supports the daily operations of the business office, with primary responsibilities in accounts payable and payroll. The Business office associate ensures financial integrity, operational excellence, and alignment with the school’s mission.

Requirements

  • Minimum of 3 years of Accounts Payable and/or Payroll processing
  • Great organizational and time-management skills
  • Ability to organize and analyze financial data
  • Ability to make accurate computations
  • Excellent communication and interpersonal skills
  • Ability to work independently and collaboratively
  • Attention to detail and accuracy
  • Adaptability and flexibility in a dynamic school environment
  • A bachelors or higher education
  • Proficiency in Google Workspace and Microsoft Office

Responsibilities

  • Ensures timely review and payment of invoices
  • Review and process invoices in a timely manner
  • Maintain the accounts payable (A/P) platform
  • Set up and manage new vendor accounts
  • Enter approved invoices into payment batches
  • Ensure all payment requests are properly addressed and documented
  • Reconcile vendor accounts and the general ledger
  • Collaborate with the HR department to process semi-monthly payroll
  • Understand payroll processes and navigate payroll systems effectively, preferably Paylocity
  • Process and manage tax documents, including W-2s, W-9s, 1099s, and 941s
  • Maintain strict confidentiality of employee information
  • Apply general accounting principles in practice such as understanding chart of accounts and journal entries
  • Distribute budget vs. actual reports to budget owners
  • Monitor expenses and ensure receipts are properly uploaded and documented
  • Provide courteous service to students, parents, vendors and staff.
  • Provide cross functional support within the business office.
  • Address concerns promptly with professionalism and grace.
