About The Position

Savannah Christian Preparatory School is seeking a professional, welcoming, and highly organized Administrative Assistant to serve as the first point of contact for our Business Office. As the "face and voice" of the office, this individual plays a critical role in fostering a positive environment for families, staff, and visitors. The ideal candidate will balance exceptional interpersonal skills with diligent data management and administrative support.

Requirements

  • High School Diploma or equivalent required.
  • 3+ years of administrative experience is preferred, though we are willing to train the right candidate with a strong service background.
  • Skilled in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat .
  • Ability to communicate with courtesy and professionalism when interacting with co-workers, parents, and students.
  • High attention to detail, strong typing/data entry speed, and the ability to multi-task in a fast-paced environment.
  • Consistent and punctual attendance is an essential function of this role to ensure office coverage.
  • Must be able to frequently lift, carry, and move mail and packages weighing up to 25 pounds (e.g., boxes of paper, supplies, or incoming deliveries).
  • Ability to remain in a stationary position for extended periods while operating the phone system/computer, as well as the ability to move throughout the office and campus to distribute mail or escort visitors.
  • Specific vision abilities required include close vision for data entry; auditory ability to hear and respond to phone calls and in-person inquiries in a busy office environment.
  • Sufficient finger and hand dexterity to operate a computer keyboard, multi-line phone, and other office equipment.
  • A servant-leader heart with a commitment to the mission of SCPS.
  • Ability to remain calm and professional under pressure.
  • Discretion when handling sensitive or confidential family information.

Nice To Haves

  • Experience with school-specific databases (e.g., Blackbaud or Veracross) is a plus.

Responsibilities

  • Manage the multi-line phone system, directing calls to the appropriate departments and providing accurate information to callers.
  • Warmly greet all visitors, facilitate the check-in process according to school safety protocols, and direct guests to their destinations.
  • Maintain and update student and family contact information within the school’s database to ensure seamless communication across the institution.
  • Coordinate all incoming and outgoing mail; oversee the pickup and delivery of packages from couriers (UPS, FedEx, USPS).
  • Maintain a clean, organized, and professional atmosphere in the front office and student workspace areas.
  • Assist the Business Office with data entry, filing, and special projects as assigned.
