About The Position

Huron Valley Catholic School in Ypsilanti is seeking a Business Manager. The Business Manager is responsible for the administrative and financial recording functions of the school, under the authority of the Principal. In addition to the specific responsibilities listed below, the Business Manager provides assistance to the Principal, the School Board, and staff as requested. The Business Manager supervises the Administrative Assistant, oversees the Room Parent Coordinators, and directs or reviews all practical aspects of school wide events.

Requirements

  • Confident knowledge of QuickBooks Plus.
  • Knowledge of standard bookkeeping and accounting procedures.
  • Experience handling payroll with MyPay Solutions.
  • Experience accounting for retirement benefits and Flex spending account.
  • Ability to communicate well with teachers, parents, and students.
  • Sufficient knowledge of Microsoft Word.
  • Skill in organizing and administering records and information in a fast-paced environment.
  • Ability to learn FACTS Student Information System independently and quickly.
  • Confident knowledge of Microsoft Word, Excel, and Publisher.

  • Experience with FACTS Student Information System.

Responsibilities

  • Supervise the Administrative Assistant.
  • Oversee the Room Parent Coordinators.
  • Direct or review all practical aspects of school wide events.
  • Verify invoices received and issue payments.
  • Process tuition payments, manage petty cash account, and perform bank reconciliation.
  • Prepare and deliver deposits.
  • Establish and distribute tuition payment schedules and revised tuition schedules for scholarship recipients.
  • Handle payroll through MyPay Solutions.
  • Account for retirement benefits and Flex spending account.
  • Provide financial information to the School Board Treasurer and Accountant.
  • Prepare the 1099 Misc-Income tax documents.
  • Assist the Student Council with the financial aspects of the School Store.
  • Enter invoices for Pizza Lunches and Extended Kindergarten.
  • Establish, produce, and maintain accuracy of enrollment documents, emergency information, class lists, and the School Handbook.
  • Coordinate the enrollment process, maintain student records, and oversee transfer student records.
  • Produce Enrollment Detail and Summary information during the enrollment process.
  • Maintain the yearly school calendar.
  • Perform scheduling for students using FACTS SIS.
  • On a quarterly basis, enter all grades, generate Honor Roll reports, and publish/distribute report cards and mid-quarter reports.
  • Work with parents and classes involved in sponsoring an event.
  • Oversee Parent Service obligations.
  • Work with the Room Parent Coordinator in supervising individual Room Parents and their responsibilities.
  • Oversee school-wide events: New Family Welcoming Event, Grandparents Day, Ice Cream Social, and Graduation Mass and Ceremony.
  • Work with the School Board in facilitating the Open House.
  • Schedule and facilitate School Picture Day, Hearing and Vision screening.
  • Coordinate initial Curriculum Night.
  • Monitor projects for the Administrative Assistant and assist when requested.
  • Review monthly Highlights and Calendar.
  • Analyze and review insurance coverage with the Insurance Agent.
  • Troubleshoot software, telephone, copier, and other equipment to maintain office operations.
  • Provide or coordinate staff luncheons at the beginning and end of the school year.
  • Create a yearly staff birthday observation schedule.
  • Order office supplies and copier supplies.
