About The Position

The Building Support Specialist (BSS) plays a key role in creating a positive workplace experience by serving as the first point of contact for employees, visitors, and vendors. This role supports the Facilities Team through front-desk operations, daily building rounds, event coordination, and timely management of facilities ticket submissions. The ideal candidate is highly organized, service-oriented, and proactive in maintaining a safe, functional, and welcoming environment. Responsibilities include greeting guests, monitoring building conditions, coordinating with vendors, assisting with event setup, and triaging maintenance or safety issues through the company’s ticketing system. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment. The BSS exceeds client expectations, ensuring that the property is well-maintained, compliant with safety standards, and meets high quality standards.

Requirements

  • Front Desk and Customer Service skills
  • Ability to multitask in high-traffic environments
  • Able to maintain badge stock, follow badging and security procedures, and provide permanent/temporary badges as needed
  • Understanding of building systems (HVAC, lighting, access control, intense security protocols)
  • Able to identify and report facilities issues during rounds (signage standards, safety hazards, spills, damage, outages)
  • Experience with preventive maintenance concepts
  • Familiarity with vendor coordination (janitorial, security, building engineers, food and beverage, etc)
  • High school diploma or equivalent required.
  • Proven experience within reception, Google Suites, CMMS systems, high client expectations, concierge, and events, preferably in an office setting.

  • Experience with CMMS systems and Google Suites preferred.

Responsibilities

  • Maintain a warm, professional front-desk presence, assisting with access, vendor escorts, and badging issues.
  • Conduct complete conference room rounds, checking lighting, meeting equipment, furniture, and stocking supplies.
  • File tickets for malfunctioning meeting equipment.
  • Update and replace signage throughout the building as needed on a weekly basis.
  • Support new hire tours for the client, showcasing the property and answering questions about the site.
  • Collaborate with the Facilities Coordinator to monitor, control, and replenish office supplies for the site.
  • Provide event support in a timely and courteous manner, with the ability to work with last-minute changes or requests, including decor, food and beverage set up, moving furniture, stocking supplies, connecting desk power, checking meeting equipment, hanging signs, and coordinating janitorial support. Maintain inventory of event supplies.
  • Set up and perform daily checks/resets of shared desks following client-provided desk standards, assisting teams with monitor, cord, or AV issues.
  • Provide assistance with badge access (activating, creating access tickets, managing temp badge extensions), ensuring all personnel entering the building have proper access, and resolving all access issues.
  • Assist with calendar management, ordering office or facility supplies, data entry and spreadsheet updates, and managing visitor and contractor escorts.
  • Be on call for emergency maintenance issues, responding promptly.
  • Maintain accurate records of maintenance work, including work orders, preventive maintenance logs, and equipment service history.
