About The Position

The Building Office Assistant will provide administrative and secretarial support to the Building Principal and Assistant Principal. This role involves ensuring compliance with financial, legal, and administrative requirements, and providing information and support to students, faculty, staff, and the public. The goal is to ensure the smooth and efficient operation of the school office to maximize positive impact on children's education.

Requirements

  • High school diploma at a minimum.
  • Ability to communicate effectively with a variety of individuals and groups from all levels of the organization.
  • Effective listening skills.
  • Ability to schedule a number of activities, meetings, and/or events.
  • Ability to gather, collate, and/or classify data.
  • Ability to work with a variety of data.
  • Problem-solving skills to identify issues and create action plans.
  • Ability to use a computer, process electronic requests, and enter accounting information.
  • Ability to retrieve and print information from various computer programs.

  • Job related experience with increasing levels of responsibility is desired.

Responsibilities

  • Screens inquiries from staff, students, parents, and the public via phone and in person to take appropriate action, interpret policies, or direct to the correct personnel.
  • Compiles data from various sources to ensure compliance with financial, legal, and administrative requirements.
  • Coordinates various programs and activities, including appointments, meetings, conferences, workshops, travel, and work assignments.
  • Maintains student records such as class rosters, attendance reports, enrollment, and student files.
  • Calls the homes of absent students who have not contacted the school.
  • Maintains a variety of manual and electronic documents, confidential and non-confidential files, and records (e.g., calendars, appointment schedules, resource materials).
  • Submits required records and completes concise reports on time.
  • Registers students to the building.
  • Assists with assigning students to classrooms.
  • Assists with student health needs and administers basic first aid.
  • Oversees the requisition and storage of equipment, supplies, and materials.
  • Maintains inventories of supplies and materials.
  • Performs record keeping and clerical functions such as scheduling, copying, preparing instructional materials, filing, and compiling lists.
  • Prepares written materials including reports, forms, letters, memos, and budgets.
  • Prepares the school newsletter.
  • Researches various topics such as current practices, policies, and education codes.
  • Responds to inquiries from internal and external parties in a timely manner.
  • Performs other duties as assigned by the superintendent or designee.
