About The Position

We are seeking a dedicated and experienced full-time Live-In Building Manager for a property in Burnaby. You will be New Vista's representative in matters of resident relations and responsible for security, maintenance and administrative functions. You will be the front-line contact for our tenants to ensure successful tenancies, the safety an well-being of tenants, and the effective operation, maintenance and report of the building. Responsible to ensure public and common areas are maintained, and on-line records and other files/records are accurate/maintained. This role is live-in position.

Requirements

  • Two (2) years of recent experience as a Building Manager or an equivalent combination of education, training and experience
  • Strong knowledge of building structures and systems with an ability to recognize and address deficiencies
  • Working knowledge of the Residential Tenancy Act & Provincial compliance regulations
  • Demonstrates a positive attitude and passionate to maintain a great environment for tenants/residents
  • Possess good organizational and problem-solving skills
  • Intermediate MS Office skills (Word/Excel)
  • Good interpersonal & communication skills and ability to build strong relationships with all levels across organization.
  • Have a record of effective tenant relations, conflict resolution, facility maintenance and security, including compliance with regulations
  • Valid BC Driver’s Licence.

Nice To Haves

  • preferably with post-secondary education in the social services related field or has completed a Building Manager Certificate or Maintenance Program

Responsibilities

  • Handle tenant inquiries, complaints and requests promptly and professionally
  • Maintain positive relationships with tenants to ensure satisfaction and retention
  • Enforce lease agreements, including rent collection and lease renewals
  • Communicate important information, such as maintenance schedules or policy changes
  • Distribute tenant notices and letters as directed by the Property Manager or Property Assistant
  • Book amenities, arrange for payment and complete check-in and check-out inspections
  • Oversee regular maintenance and repairs of the property
  • Generate work orders for maintenance staff
  • Request scheduling from Property Manager & Maintenance Supervisor and assist contractors and maintenance staff and accept completed work where required
  • Perform routine inspections to identify and address maintenance issues
  • Ensure the property is safe, clean, and well-maintained always
  • Maintain an adequate supply of supplies and materials for the required maintenance and repairs
  • Ability to carry up to 50lbs and other assigned duties
  • Support the Property Manager with advertising and promotions for available and vacant suites
  • Screen potential tenants, conduct background checks, and verify references
  • Assist where needed on preparing and executing lease agreements with Property Manager/Assistant
  • Schedule and complete move-ins and move-outs, including inspections and paperwork
  • Enforce safety and security protocols
  • Address security concerns and maintain a safe environment for residents
  • Coordinate emergency response procedures and be available for emergencies
  • Prepares detailed incident reports related to accidents, injury, damage to the property, altercations, or theft
  • Provide site access to contractors
  • Ensure the property complies with local and state regulations
  • Keep up to date with zoning laws, building codes, and housing regulations
  • Maintain accurate records of all property-related activities
  • Document maintenance requests, repairs, and lease agreements
  • Keep records of tenant communications and lease renewals
  • Provide updates on property performance, maintenance and financials
  • Cooperate and monitor on-site staff, such as maintenance and cleaning personnel
  • Foster a collaborative and productive team environment
  • Prepare and submit weekly operations reports to Property Manager
  • Identify areas for improvement and implement strategies to enhance property operations
  • Stay updated on industry trends and best practices
  • Be available for after-hours emergencies and coordinate emergency response teams when necessary
  • Minor electrical duties, such as changing fuses, stove elements, switch/outlet covers, light bulbs and tubes, check breakers, test emergency lighting, check/reset time clocks and adjust thermostats; inspection of electrical room in compliance with Fire Safety Plan
  • Minor plumbing maintenance such as washer/stems, spouts/aerators, shower heads, flush handles, toilet seats, check shutoffs, caulk bathtubs, clean sink traps, snake drains and toilet auger to be used (if required)
  • Minor carpentry maintenance such as hardware replacement (locks, stops, striker plate, handles, hinges and back sets), adjust weather stripping, repair/replace bathroom hardware and accessories, repair drapery tracks and fittings, secure broken windows and doors, touch-up painting and staining, adjust handrails, caulking, adjust door closers.
  • Minor mechanical maintenance: Inspection of mechanical equipment
  • Minor appliance maintenance such as change butter doors, freezer doors, crisper trays, bottle bars, moving and levelling of appliances, duct work repairs for dryers, replace supply hose for washers
  • Minor exterior maintenance such as fencing (re-nailing boards and repair hardware), repair/replace signage and numbers
  • Performs various inspections on a regular basis e. boiler rooms, fire alarm logs, security systems, etc., or on vacancy and arranges for repairs and/or maintenance
  • Identifies minor deficiencies in the performance of routine work specifications (e.g. painting services, flooring, millwork, pesticides applications, etc.), reports to the Contractor and facilitates remedial
  • Identifies and reports major deviations in contract performance to the maintenance supervisor
  • Provides assistance to and monitors work performed by contractors
  • Reports hazards, unusual occurrences, accidents, and unsafe situations or faulty equipment/furniture to Property Portfolio Manager
  • Other related duties as directed
