About The Position

Community Land Trust (CLT) is building a talent pool of qualified Building Managers for future opportunities within its growing portfolio. While an immediate vacancy may not be available, CLT regularly hires Building Managers to support housing co-operatives across the Lower Mainland. Qualified applicants may be invited to participate in an initial screening and assessment process and, if successful, will form part of the Talent Pool. This pool of pre-screened and verified candidates will be the first source of talent for future openings as they arise. This is an excellent opportunity for experienced property management professionals who enjoy working directly with residents, supporting volunteer Boards, coordinating building operations, and contributing to affordable housing communities. The Building Manager is responsible for the overall day-to-day management, operation, and administration of assigned housing co-operative. As the primary on-site representative of Community Land Trust (CLT), the Building Manager works independently to oversee property operations, support residents and Boards of Directors, coordinate maintenance and contractors, and ensure communities are safe, well maintained, financially sustainable, and operating in accordance with co-op governance requirements, policies, and applicable legislation. The Building Manager serves as a key liaison between residents, Boards of Directors, contractors, and CLT staff, exercising sound judgment, problem-solving abilities, and professionalism to support the successful operation of each community.

Requirements

  • Education in Business Administration, Real Estate Management, Property Management, or a related field, or an equivalent combination of education and experience
  • Experience managing multi-unit residential properties, housing communities, or strata properties
  • Strong knowledge of building maintenance, project coordination, and contractor management
  • Excellent customer service, communication, and conflict resolution skills
  • Strong organizational, time management, and problem-solving abilities
  • Basic bookkeeping and financial administration experience
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
  • A high level of professionalism, integrity, discretion, and attention to detail

  • Experience working with housing co-operatives
  • Knowledge of co-operative governance principles and Board operations
  • Experience working within nonprofit, affordable housing, or community-focused organizations

Responsibilities

  • Oversee the day-to-day operation and administration of assigned housing co-operative
  • Manage competing operational priorities and make appropriate decisions and recommendations to support the effective operation of the property
  • Conduct regular inspections of buildings, grounds, common areas, and facilities to identify maintenance needs, safety concerns, and operational risk
  • Monitor, identify, and escalate health, safety, security, maintenance, and operational risks as appropriate
  • Ensure compliance with CLT policies, co-op Rules and Bylaws, and applicable legislation
  • Support emergency response activities and coordinate resolution of urgent operational issues as required
  • Support the process for filling vacant units in accordance with co-op Rules, policies, and applicable requirements
  • Receive, assess, and coordinate maintenance requests and work orders
  • Coordinate annual unit inspections and resident turnover inspections
  • Obtain contractor quotations, coordinate contractor access, and oversee contractor performance and completion of work
  • Coordinate preventative, routine, and urgent maintenance activities
  • Monitor building conditions and recommend maintenance priorities and capital repair requirements
  • Track maintenance expenditures and support long-term building maintenance planning
  • Respond to member inquiries, concerns, complaints, and conflicts in a professional, respectful, and timely manner
  • Assist in resolving complex member concerns while balancing operational requirements, co-op policies, and community interests
  • Prepare correspondence, notices, reports, and operational documentation
  • Maintain housing charge registries and assist with housing charge administration
  • Maintain accurate and confidential member, property, and operational records
  • Support the preparation of annual operating budgets and provide operational information required for financial planning
  • Process invoices and ensure supporting documentation is submitted accurately and on time
  • Assist with housing charge calculations, arrears tracking, and other financial administration activities
  • Facilitate arrears management, payment processing, and collection activities
  • Administer petty cash and support month-end financial processes
  • Provide information and documentation required by Accounting and other CLT departments
  • Monitor operating expenses and identify potential budget variances or concerns
  • Serve as a key liaison between the housing co-operative Board of Directors, members, and Community Land Trust
  • Support and implement Board decisions while maintaining appropriate governance and management boundaries
  • Provide accurate operational information, recommendations, and updates to Boards of Directors
  • Prepare reports, meeting materials, and supporting documentation for Board meetings and Annual General Meetings.
  • Attend and assist with Board meetings, Annual General Meetings, and occasional evening meetings as required
  • Build and maintain positive working relationships with volunteer Boards, members, contractors, and stakeholders
  • Effectively navigate challenging situations, differing perspectives, and conflict while supporting the best interests of the co-operative community
