About The Position

Ivy Tech seeks a Budget & Grants Analyst to join the business office at our Evansville, IN campus. This role supports campus financial operations, ensures procurement and grant compliance, and partners with departments to maintain accurate and transparent budgets. This position reports to the Vice Chancellor of Administration, works closely with the Business Office Manager, and serves as the finance grant designee for the Evansville Campus.

Requirements

  • Bachelor's degree in Accounting or Finance or 4-6 years of related experience

Responsibilities

  • Ensure proper classification of procurement transactions and coordinate necessary adjustments with departments.
  • Assist with preparing monthly financial reports and distributing monthly reports to department managers.
  • Assist with the development of the campus’s annual budget and support staff in preparing budgets and budget justifications for new proposals.
  • Serve as the campus lead for compliance on purchasing, travel expenses, employee expense reports, and grants.
  • Assist with training new and existing employees on procurement policies and systems.
  • Serve as a purchasing card administrator for the campus.
  • Review contracts for accuracy and ensure the contracts are entered into the College’s Contract Management System.
  • Prepare daily bank deposits and assist with the monthly cash and cash clearing account reconciliations.
  • Maintain gift and grant funds by tracking appropriate expenses, submitting invoices and processing checks to and from the foundation, notifying leadership of any issues.
  • Train project directors on reading and interpreting budgets in the finance system.
  • Provide guidance on financial grant management to project directors.
  • Collaborate with the College’s Sponsored Programs (Grants) office on grant requirements, budget approvals, and post award compliance expectations.
  • Learn and apply grant workflows within the College’s finance system, including routing, approvals, and post award monitoring.
