About The Position

The Broadcast Traffic Coordinator supports traffic department operations by executing established workflows, coordinating production materials, and facilitating the timely distribution of broadcast materials to television and radio stations. This role involves supporting traffic team members and agency partners in daily operations, identifying process improvements, and exercising judgment to resolve issues. The coordinator will also act as a liaison between various departments and station partners, ensuring timely commercial approvals and broadcast material deliveries. Key responsibilities include collaborating on traffic instructions, reviewing media buys, creating distribution orders, maintaining accurate records, and troubleshooting discrepancies. The role also requires effective interaction with agency personnel, station partners, and vendors, processing dub requests, monitoring station emails, updating contact information, and escalating unresolved issues.

Requirements

  • Bachelor's Degree in Marketing, Advertising, Communications or relevant, equivalent experience
  • Must be able to work onsite and full-time in our Fort Lauderdale, FL office
  • Demonstrate strong organizational, time management, and prioritization skills in a fast-paced environment.
  • Adapt effectively to changing priorities, deadlines, and business needs while managing multiple tasks simultaneously.
  • Exhibit a positive, cooperative, and professional attitude when working with team members, agency personnel, clients, and vendors.
  • Be flexible to work additional hours, including early mornings or evenings, as needed to support client and agency deadlines.
  • Possess the ability to learn new systems, processes, and workflows quickly and effectively.
  • Become proficient in agency systems and software, including but not limited to: Workfront (Project Management). D365 (Financial Management). DDS (Media Buys). Prisma (Traffic Management). Extreme Reach & Yangaroo, Comcast (distribution vendor). MediaVu & ThinkTv (network clearance). Microsoft Office Suite
  • Perform additional duties and responsibilities as assigned and adapt to unexpected tasks as business needs arise.

Responsibilities

  • Support Traffic team members and agency partners in the execution of daily traffic operations and assigned projects.
  • Identify, recommend, and implement process improvements that enhance efficiency, accuracy, and communication.
  • Exercise logical judgment and problem-solving skills to resolve issues and conflicts with minimal supervision.
  • Provide support and subject matter expertise regarding traffic inquiries, estimating, station discrepancies, and departmental workflows.
  • Adapt to changing priorities while ensuring timely completion of department deliverables.
  • Process and monitor production scripts, ensuring accuracy and timely progression through the production workflow.
  • Act as a liaison between StudioZ, agency departments, and station partners.
  • Coordinate timely commercial approvals and broadcast material deliveries while supporting the resolution of production-related issues.
  • Collaborate with internal departments, media teams, and station partners to develop and execute traffic instructions.
  • Review upcoming media buys and campaign schedules to ensure traffic readiness and timely material deployment.
  • Create and process distribution orders through approved vendors.
  • Coordinate the delivery of broadcast materials, including Co-Op scripts, storyboards, work-in-progress (WIP) assets, and final clearance documentation, ensuring all deadlines are met.
  • Maintain accurate Traffic and Production records, confirmations, delivery status, and other required documentation within agency systems.
  • Support client, agency, and departmental traffic initiatives by troubleshooting issues, resolving discrepancies, and assisting with workflow execution as needed.
  • Effectively interact with agency personnel, station partners, and external vendors to support traffic operations.
  • Assist team members in completing departmental tasks and meeting established deadlines.
  • Process dub requests and coordinate related material deliveries as required.
  • Monitor, review, and respond to station emails and traffic-related inquiries in a timely manner.
  • Maintain and update station contact information for traffic schedules, material distribution, and Co-Op deliveries.
  • Review, investigate, and respond to traffic and media discrepancies.
  • Escalate unresolved or significant media discrepancies to the Traffic Supervisor for review and resolution.
  • Support traffic scheduling, distribution, and material delivery activities as needed to meet client and agency requirements.
