Branch Operations Coordinator

About The Position

This role is responsible for supporting branch operations through various administrative and logistical tasks. The coordinator will work independently on assigned tasks, assist branch staff, manage schedules, track job orders and materials, and ensure smooth business continuity. The position requires strong organizational skills, attention to detail, and proficiency in Microsoft Office Suite.

Requirements

  • Intermediate Microsoft Word and Excel skills are required
  • Works well under pressure
  • Self-starter / self-motivator requiring minimal supervision
  • Decisive and proactive approach to problem solving

Responsibilities

  • Work independently on various tasks assigned by supervisor/manager
  • Perform basic administrative tasks for all branch staff
  • Send out and track daily tech tips
  • Participate in weekly scheduling meetings
  • Update and furnish tech schedule
  • Print and log new job orders via labor tracking
  • Update labor tracking daily
  • Update CRM weekly or as needed
  • Send internal/external company related emails
  • Schedule and log staff trainings and place certificates on the system
  • Follow up with customers on material orders, tech scheduling, and job status
  • Assist with material ordering and status updates
  • Assist with additional material purchases via company credit card
  • Drop off materials to job sites as needed
  • Assist techs with Airbnb/hotel rentals
  • Conduct on-site orientations as needed
  • Assist with onboarding and background checks
  • Assist with closeout documentation
  • Assist techs with IT issues by sending emails to the help desk
  • Retrieve and place test results in customer folders
  • Create and complete job status reports
  • Inventory and track company property issued to techs
  • Create and maintain customer tracking spreadsheets
  • Assist with company fleet maintenance and tag renewals
  • Order, track, and call off lifts
  • Assist with billing and closing out jobs on the system
  • Permit coordination with the PC team
  • Help pull permits
  • Coordinate with PM and call in inspections
  • Permit closeout
  • Order office supplies
  • Greet and direct office visitors
  • Work on job sites as needed
  • Assist with anything that helps streamline the continuity of the overall business or projects
