About The Position

Provide a full range of branch administration activities by managing the office needs, ensuring Sales and Management (both regional and local) are fully supported, while maintaining a superior level of professionalism.

Requirements

  • Diploma/degree or an equivalent combination of experience and education
  • Minimum of 2 years of experience in a similar position
  • Excellent command of English grammar, punctuation and spelling along with strong communication are a must
  • Intermediate level of computer skills using Windows and MS Office Suite
  • Ability to organize, manage and track multiple detailed tasks and assignments with frequently changing priorities
  • Ability to work effectively both independently and within a team environment
  • Proactive thinking and excellent problem solving skills
  • Friendly and professional manner
  • Exceptional client service skills

Responsibilities

  • Monitor, process and create IW54 tickets for branch
  • Collaborate with various departments for execution of client requests and problem solving
  • Assist clients with MYKMBS.COM and meter reading options
  • Reprint invoices, locate service or lease contracts and other documents and provide to customer or Sales as needed
  • Ensure client needs are met or exceeded
  • Assist with letters, expense reports and travel arrangements as required
  • Provide support and assistance with Sales Document Generator program
  • Assist Sales by providing CPC rates, service history and other customer data as requested
  • Process moves and pickups received through IW54 tickets or per Sales request
  • Assist in the creation and editing of Word, PowerPoint and Excel documents as required
  • Complete request forms for Showroom Equipment, get approvals and forward to logistics for processing
  • Assist with RFP/RFI Binder and response documentation as required
  • Meeting requirements, projector/ room bookings and ordering lunch if needed
  • Maintain an appropriate level of office supplies
  • Send outgoing KMBS Head Office correspondence as needed
  • Review and distribute incoming mail; ensure supplier invoices get proper local approval
  • Keep reception area tidy and organized
  • Welcoming guests and ensure they have a good KM experience and office security protocols are observed
  • Set up ID badges & security swipe cards for new hires
  • Maintain scheduling system for Demo and Meeting rooms
  • Order business cards and corporate literature as required
  • Perform other relevant duties as required and assigned by Manager
