About The Position

The Branch Administrator provides operational and administrative support to ensure efficient branch performance. This role supports billing, compliance documentation, onboarding coordination, and day-to-day office operations. The Branch Administrator plays a critical role in maintaining accurate records, supporting field leadership, and ensuring administrative processes are executed consistently and efficiently.

Requirements

  • High School Diploma or equivalent required; Associate’s degree preferred.
  • 2+ years of administrative or office support experience, preferably in a field-based or operational environment.
  • Experience coordinating onboarding documentation and compliance-related paperwork preferred.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Detail-oriented with strong written and verbal communication skills.
  • Experience supporting billing, expense reconciliation, or accounting processes.
  • Ability to maintain confidentiality and handle sensitive documentation appropriately.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and ability to learn internal systems.
  • Positive demeanor with strong interpersonal skills and ability to support operational leaders.
  • Ability to adapt in a fast-paced environment with shifting priorities.

Nice To Haves

  • Bilingual in Spanish, a plus.

Responsibilities

  • Provide a welcoming and professional greeting to clients, employees, vendors, subcontractors and others.
  • Answer incoming calls and emails professionally and direct them to appropriate personnel, taking messages if appropriate and ensure a timely follow-through.
  • Ensure mail is processed, reception area is welcoming, office supplies are well stocked, office equipment troubleshooting and other day-to-day office tasks.
  • Coordinate uniform, PPE, and other operational needs with management.
  • Assist in onboarding for new hires and re-hires with HR as needed.
  • Prepare, batch, review and send billing, and Account Receivable workflows as well as payments received posting and collections.
  • Assist with Purchase Orders (POs), vendor invoices, and Accounts Payable workflows.
  • Maintain organized customer files, subcontractor agreements, and Certificates of Insurance (COIs).
  • Maintain DOT files, MVR tracking, Samsara (Ai gps camera) monitoring, safety tailgate attendance, training platforms and other required compliance documentation.
  • Provide support for and assist in planning employee events, travel, training and awards.
  • Attend Operations Meetings as needed, run requested reports, document notes, and provide general administrative support as needed.
