About The Position

The BCS Bookkeeper supports the school’s daily operations by managing administrative systems, financial processes, and student activities. This role oversees tuition billing, bookkeeping tasks, system account management, and technology support while also supporting teachers in the planning of school field trips and experiential learning opportunities. Working closely with school leadership, staff, and families, this position ensures efficient operations, regulatory compliance, and meaningful student and community experiences.

  • High school diploma or equivalent required
  • 1–2 years of experience in bookkeeping, administrative operations, or systems coordination.
  • Proficiency with spreadsheets (Excel or Google Sheets) and financial software.
  • Familiarity with digital platforms such as student information systems or similar operational software.
  • Basic troubleshooting ability for common hardware and software issues.
  • Strong attention to detail and accuracy in record-keeping.
  • Strong organizational and time-management skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Clear communication and strong customer service skills when working with families and staff.
  • Ability to maintain confidentiality and handle sensitive financial and student information.

Nice To Haves

  • Associate’s degree in accounting, business administration, information systems, or a related field preferred.
  • Bachelor’s degree in accounting, finance, business administration, information systems, or a related field.
  • 3+ years of experience in bookkeeping, operations, or administrative systems management, preferably in a school, nonprofit, or faith-based organization.
  • Experience with tuition management platforms such as FACTS.
  • Experience managing digital platforms, account provisioning, and operational software systems.
  • Familiarity with technology asset management and vendor coordination.
  • Knowledge of nonprofit financial practices and operational procedures.
  • Demonstrated ability to improve administrative or financial processes.
  • Strong problem-solving skills and ability to identify operational efficiencies.
  • Ability to work collaboratively with staff, families, and external vendors.

Responsibilities

  • Record and reconcile income, expenses, deposits, and petty cash on a regular basis.
  • Manage tuition accounts, billing, refunds, and incidental charges within the financial system.
  • Submit invoices, reimbursements, and deposits to the accounting department in a timely manner.
  • Prepare financial reports, including monthly past-due balances, for leadership review.
  • Maintain organized financial records (digital and physical).
  • Communicate with families regarding billing questions and past-due accounts.
  • Assist with budget tracking and provide support for monthly and year-end reporting.
  • Support financial coordination for school programs, events, and fundraising activities.
  • Make purchases for the school based on requests.
  • Manage student and staff technology accounts, including setup, password resets, and access management.
  • Maintain synchronization of school digital platforms (such as student information systems and learning platforms).
  • Oversee EdTech and operational software contracts, renewals, documentation, and payment coordination.
  • Maintain an inventory of school technology assets, including Chromebooks and other devices.
  • Provide basic troubleshooting support for staff and students with school technology.
  • Serve as a liaison between the school and the church IT department for technical support and infrastructure needs.
  • Ensure operational technology systems remain organized, functional, and secure.
  • Ensure production teams have the necessary assets, schedules, and materials in advance.
  • Coordinate all school field trips and assist teachers in the planning process, including transportation, permissions, chaperones, schedules, and risk management.
  • Ensure field trips align with educational objectives, safety policies, and the school’s Christian mission.
  • Model Christ-centered service, encouraging a positive, respectful, and collaborative environment for students, staff, and volunteers.
  • Support school-wide events, including assemblies, fundraisers, performances, graduations, and community celebrations.
  • Conduct pre- and post-event meetings to assess success and improve processes.
  • Maintain a consistent focus on efficiency and positive participant experience.
