About The Position

The Boat Business Assistant provides clerical support for all boat, motor, trailer, or ATV customer purchases in the Boat Department or at a Boat Dealership. This role supports a strong commitment to world-class customer service and ensures a pleasant and productive shopping experience for all customers. The assistant will help the Business/Sales Manager or Boat Manager in selling finance and insurance programs to increase dealer revenues, conduct customer closings and funding activities, and coordinate all paperwork involved in the sale process. This includes creating and finalizing quotes, printing closing documents, entering customer deposits, and maintaining sales, finance, and commission logs. The position is also responsible for accounting for all monies received, performing end-of-day closing activities, completing data entry into IDS, and accurately posting all deals within 24 hours of delivery. Additionally, the role involves organizing and processing MSOs, answering multi-line phones, directing calls, and maintaining office supply inventory. The assistant will also complete and file required title work, prepare check requests, maintain manufacturer documentation, and register products within specified timeframes. Other clerical tasks such as sending faxes and maintaining customer files are also part of the responsibilities.

Requirements

  • High School education or equivalent experience
  • Must be at least 21 years old
  • Ability to calculate figures, make change, and figure percentages
  • Ability to communicate in a friendly and professional manner
  • Clerical / data entry skills, preferably within the marine or auto industry
  • Good organizational abilities
  • Detail oriented

Responsibilities

  • Provides clerical support for all boat, motor, trailer, or ATV customer purchases.

  • Accounts for all monies received and ensures their safekeeping.
  • Performs end-of-day closing activities, including till reconciliation and report preparation.
  • Completes data entry into IDS of all activities associated with the sale.
  • Accurately posts all deals within 24 hours of delivery.
  • Organizes and processes MSOs, including receipt entry, safeguarding, filing, and requesting duplicates.
  • Answers multi-line phones in a timely, professional, and courteous manner.
  • Directs inbound calls and takes accurate messages.
  • Maintains boat dealership office supplies and title/registration paperwork inventory.
  • Completes and files all required title work and associated documentation.
  • Prepares check requests as needed.
  • Maintains manufacturer documentation and registers products within specified timeframes.
  • Performs other clerical tasks as required, including sending faxes and maintaining customer files.
