About The Position

The Bone Marrow Transplant Data Coordinator will be responsible for chart abstraction/data capture that supports BMT data management activities and ensures compliance with federal reporting requirements, accreditation standards, and regulatory agencies to identify opportunities for improvement resulting in improved patient outcomes here at Stony Brook Medicine.

Requirements

  • Registered Nurse with a minimum of three years of nursing experience.
  • Bachelor’s degree in a Nursing, Oncology, Health Science, or a related clinical field
  • Excellent organizational and time-management skills, with strong attention to detail and the ability to effectively prioritize multiple responsibilities.
  • Demonstrated ability to maintain high standards of data quality and accuracy while working independently and efficiently.
  • Proficiency with Microsoft Office applications and electronic databases.

Nice To Haves

  • Bachelor’s Degree in a Nursing, Oncology, Health Science and/or an advanced clinical degree.
  • Prior experience with transplant registries, clinical reporting data, data collection, and/or understanding of healthcare regulatory and accreditation requirements
  • Experience with clinical data abstraction, medical record review, data validation and clinical databases
  • Experience in BMT/Cellular Therapy Program or other oncology clinical setting preferred.

Responsibilities

  • Perform data collection and abstraction for transplant and cellular therapy patients in accordance with the Foundation for the Accreditation of Cellular Therapy (FACT) standards and Center for International Blood and Marrow Transplant Research (CIBMTR) for registry reporting requirements.
  • Develop a comprehensive understanding of reporting requirements and submission of Transplant Essential Data (TED), Cellular Therapeutic Essential Data (CTED), and Comprehensive Report Forms (CRF) in CIBMTR database.
  • Coordinates and supports internal audits, responds to data queries, resolve discrepancies and facilitates internal and external accreditation reviews, including regulatory and accrediting agency requirements.
  • Conducts comprehensive medical record reviews, validates clinical data, performs outlier case drill-downs, addresses audit findings, generates ad hoc reports, and completes clinical data abstraction to ensure accurate registry reporting and compliance with established standards.
  • Maintains data quality and accuracy through timely documentation of patient treatment pathways and monitoring of key milestones.
  • Participate in BMT Program Quality Meetings by presenting data analysis, reviewing quality benchmarks, and providing feedback.
  • Assist the Medical Director and Quality Manager in preparing for and maintaining ongoing regulatory readiness and compliance.
  • Collaborates with Informational Technology (IT) to support StemSoft software updates, troubleshooting, and maintenance to ensure optimal departmental functionality.
  • Collaborates across Cancer Services, Quality, Stem Cell Laboratory, Blood Bank/Apheresis, and Research to effectively manage and communicate information, support continuous process improvement initiatives, and ensure ongoing compliance with FACT and CIBMTR standards.
