About The Position

Texas A&M University College of Dentistry is seeking a part-time Biopsy Service Associate for the Department of Diagnostic Sciences. This role supports the Oral Pathology Service (OPS) by acting as a liaison between OPS, medical/dental facilities, clients, and a third-party billing company. The position is crucial for ensuring accurate, timely, and compliant laboratory operations through customer service, specimen accessioning, billing coordination, and administrative assistance. The ideal candidate is self-motivated and committed to the success of the College and its students.

Requirements

  • High school graduation or any equivalent combination of education and experience.
  • Three years of experience in general office or clerical work.

  • Degree in Laboratory Science or Medical Laboratory Technology, or coursework in chemistry, biology, or medical laboratory technology.

Responsibilities

  • Greets visitors in a professional and courteous manner.
  • Answers, screens, and routes incoming phone calls and emails.
  • Provides timely support to clients and assists with resolving client issues and requests via phone or email.
  • Provides general information and referrals to clients.
  • Responds to pathology report and slide requests.
  • Sorts and routes emails received by OPS from clients, patients, and College administration.
  • Responds promptly to emails appropriate for the role.
  • Receives and accessions incoming pathology specimens.
  • Prepares specimens and documentation for gross examination by the resident or pathologist.
  • Collects and enters specimen-related information into the laboratory management system (database), including contacting clinicians’ offices when required clinical information is missing or preferred billing methods are not indicated.
  • Accurately prepares cases electronically for pathologist review and microscopic data entry using speech-recognition software.
  • Receives, sorts, and routes incoming OPS mail.
  • Deposits insurance, client, and patient checks daily in accordance with College procedures.
  • Transmits deposit information to the TAMU Finance Department.
  • Forwards medical insurance correspondence to the billing vendor in a timely manner.
  • Serves as a liaison between OPS, the billing vendor, and the TAMU Finance Department.
  • Provides general administrative support.
  • Faxes and/or emails finalized pathology reports to clinicians.
  • After daily cases are finalized, prepares required documentation and transmits materials to the billing vendor in a timely manner.
  • Applies, interprets, and communicates laboratory policies and procedures.
  • Serves as a resource for answering questions related to laboratory operations and policies.
  • Prepares slide trays and biopsy reports for daily resident review.
  • Monitors and maintains laboratory supplies and equipment.
  • Monitors and replenishes supplies needed for preparation and mailing of biopsy kits and requisition forms.
  • Assists with maintaining CLIA-required files and records.
  • Assembling biopsy kits when other OPS staff are unavailable.
  • Mailing biopsy kits to clients when other OPS staff are unavailable.
  • Maintaining records related to receipt, distribution, and tracking of biopsy kits and other required documentation when other OPS staff are unavailable.
