About The Position

Norm Law is seeking a Billing Associate to support its financial operations. This role is crucial for ensuring accurate, timely, and efficient billing processes, adhering to client-specific requirements. The Billing Associate will collaborate closely with attorneys, clients, and the firm's finance and operations teams. Key responsibilities include maintaining billing accuracy, enhancing operational workflows, and providing an excellent client experience through effective financial administration. The position involves preparing, reviewing, and processing client invoices, verifying attorney matter entries and expenses, coordinating monthly billing cycles, and resolving any issues that might delay invoice delivery or payment. Additionally, the role requires supporting attorneys in reviewing pre-bills and implementing edits, responding to billing inquiries, and understanding client-specific billing guidelines. The Billing Associate will also assist with accounts receivable by tracking outstanding invoices, reconciling discrepancies, and maintaining accurate billing records. A significant aspect of the role involves identifying opportunities for process improvement, including streamlining workflows with automation and AI, developing standardized procedures, and generating reports. Administrative duties include maintaining billing data in firm systems and assisting with month-end close activities.

Requirements

  • Bachelor's degree or equivalent professional experience
  • 3–5+ years of legal billing or law firm finance experience
  • Experience working with legal billing systems and accounting software
  • Strong proficiency in Microsoft Excel and Google Workspace
  • Excellent organizational skills with exceptional attention to detail
  • Strong analytical and problem-solving abilities
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities while meeting deadlines
  • Ability to handle confidential financial information with discretion
  • Comfortable working in a fast-paced, evolving environment

Responsibilities

  • Prepare, review, and process client invoices in accordance with client billing guidelines and engagement terms
  • Review attorney matter entries and expenses for completeness, accuracy, and compliance prior to billing
  • Coordinate monthly billing cycles and ensure invoices are delivered accurately and on schedule
  • Monitor billing status and proactively resolve issues that may delay invoice delivery or payment
  • Partner with attorneys to review pre-bills, implement edits, and finalize invoices
  • Respond to billing inquiries from attorneys and clients with professionalism and urgency
  • Develop a strong understanding of client-specific billing requirements and outside counsel guidelines
  • Support the onboarding of new client billing arrangements and matter setups
  • Track outstanding invoices and assist with collections efforts by coordinating with attorneys and clients
  • Reconcile billing discrepancies and resolve payment-related questions
  • Maintain accurate billing records and supporting documentation
  • Work with finance and operations to identify opportunities to streamline billing workflows through automation and AI-enabled processes
  • Assist in developing standardized billing procedures and documentation
  • Generate billing and financial reports as needed to support firm leadership
  • Maintain billing data within the firm's practice management and financial systems
