About The Position

The Master File Maintenance Specialist is an integral part of Latham’s Global Finance team and will be responsible for maintaining and managing the master billing file for assigned practice offices at the firm, while opening new client matters and timekeepers, validating complex rate logic, checking conflicts data for accuracy and completeness, and following up on missing or incomplete data. This role will be located in our Global Services Office in downtown Los Angeles. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.

Requirements

  • Possess knowledge of basic accounting principles
  • Exhibit the ability to comprehend and accurately perform mathematical functions
  • Display the analytical skills needed to correctly comprehend and communicate data
  • A high school diploma, preferably a bachelor's degree in accounting, business administration, or a related field
  • A minimum of one (1) year of experience in legal billing or billing audit within a professional services organization
  • A minimum of one (1) year of experience with the Elite Billing system, preferably

Responsibilities

  • Verifying and opening all client matters and timekeeper master setups, including billing rates and exception rate hierarchies
  • Confirming client arrangements for special rate needs
  • Ensuring the file set-up is done appropriately
  • Evaluating and inputting the appropriate billing and exception rates into the Elite billing system
  • Coordinating with attorneys, legal secretaries, HR managers, and accounting personnel regarding the receipt of required data, supporting documentation, and approvals in accordance with billing policies and procedures
  • Protecting and maintaining any highly sensitive, confidential, privileged, financial, and/or proprietary information that Latham & Watkins retains
