About The Position

The Project Manager will be responsible for the coordination, management, and supervision of capital projects within the suite renovation program, contributing to the maintenance and maximization of Chartwell's real estate assets. They will ensure all ongoing projects are well-evaluated and managed according to established organizational vision and budgets, as well as municipal or local Building Code. The Project Manager will lead projects and coordinate the company's services essential for the completion of mandates. Field customer service and company operations teams will play a key role in the success of these functions. The incumbent will act as a Chartwell ambassador and speak positively about the company.

Requirements

  • Minimum of five to seven years of proven experience in asset and project management.
  • Hands-on field experience as a project manager or contractor.
  • Collaboration with multidisciplinary teams.

  • Experience working within an asset management organization.
  • Expertise in construction or renovation of existing buildings.

Responsibilities

  • Coordinate, direct, manage, and supervise construction sites with contractors and consultants from start to finish.
  • Work closely with all Chartwell members and demonstrate a strong interest in each project, including (but not limited to) those from the operations, marketing, finance, and development teams. Manage project activities during the design, planning, estimation, construction, and warranty phases as needed.
  • Maintain relationships with and within the property management department.
  • Ensure the safety of residents and staff during the capital project.
  • Manage the Quebec and Eastern Ontario suite renovation program while following Chartwell's established guidelines and procedures.
  • Clearly establish the specifications and scope of renovations based on unit renovation program documents, approved renovation manuals, and new operational department requirements.
  • Adequately determine and manage interactions between various components of the units to be renovated and other building components (fire alarms and sprinklers, fire separations, plumbing, ventilation, etc.) considering project requirements.
  • Apply the same processes and principles used for renovations in Canada.
  • Verify contractor performance and implement an evaluation process to ensure installation quality.
  • Seek out new contractors and regularly review their performance and rates.
  • Verify prices, estimates, and material availability.
  • Work with Chartwell's supply chain department and national suppliers to streamline material procurement and negotiate prices. Assist residences in ordering and receiving the correct materials on time.
  • Provide advice and guidance to contractors and evaluate them.
  • Ensure deadlines and budgets are met.
  • Complete projects as quickly as possible.
  • Accurately plan projects to complete them within deadlines.
  • Provide useful information on how to build by optimizing efficiency, costs, and logistics, while maintaining the organization's vision of service excellence.
  • Resolve issues related to specific site conditions or market/contractor limitations.
  • Ensure workplace and construction site safety.
  • Ensure quality control and that deliverables are accepted by all stakeholders.
  • Verify continued compliance with Chartwell standards.
  • Train internal stakeholders on Chartwell's construction procedures and standards.
  • Update Chartwell's procedures and standards.
  • Communicate frequently and openly with stakeholders about progress, including successes and challenges related to project implementation or completion.
  • Resolve all project-related conflicts to ensure its success.
  • Estimate and manage project costs based on research and surveys with above-average accuracy.
  • Obtain necessary quotes to establish the actual cost.
  • Use Chartwell's ordering system for project procurement.
  • Accurately manage change requests in compliance with documentation and work process procedures.
  • Closely monitor budget status and produce reports.
  • Anticipate project budget overruns and find solutions to mitigate them.
  • Track all projects, their status, delivery deadlines, and details in a common database.
  • Obtain operational team requirements in accordance with company policies, priorities, and approved scopes of work.
  • Manage construction in a way that supports the operations and marketing teams to ensure their effectiveness.
  • Establish clear protocols for communication and reporting with site staff.
  • Ensure renovated or new spaces are presentable, defect-free, and ready for use by residents and staff.
  • Ensure contractors are organized and informed of established move-in dates.
  • Maintain good communication with operational teams throughout the project.
  • Carefully manage the logistics of current operations.
  • Take full responsibility for projects and coordinate with others if necessary.
  • Conduct final inspections, list items to be corrected, and then follow up on the corrections made.
  • Demonstrate understanding and knowledge of local Building Code requirements, Ministry of Health and environmental policies, and municipal or city bylaws that influence the permit issuance process.
