About The Position

The Bilingual Pharmacy Services Coordinator plays a critical operational role in supporting the day-to-day functions of the charitable pharmacy by performing technical, administrative, and client-facing duties under the directions of a licensed Pharmacist. This position is responsible for prescription processing support, eligibility documentation, billing and data entry, inventory assistance, phone and client intake support, and coordination with volunteer pharmacy staff. This role requires consistent attention to detail, adherence to established pharmacy procedures, and effective communication with clients, volunteers, and staff. While the Bilingual Pharmacy Services Coordinator may provide task guidance and training to support volunteers, this position does not carry supervisory authority and does not exercise independent judgment on professional matters of significance. Work is performed within clearly defined policies, procedures, and regulatory requirements. This position is essential to maintaining efficient pharmacy operations, supporting vulnerable populations, and ensuring compliance with pharmacy regulations, safeguarding standards, and organizational policies.

Requirements

  • Must be at least 18 years old
  • High School Diploma or equivalent (GED)
  • Minimum of one (1) year of relevant pharmacy experience in a social service setting
  • Bilingual in English and Spanish required with the ability to: Communicate clearly with patients regarding prescriptions, medication instructions, and pharmacy services, as instructed by the pharmacist
  • Translate or explain medication-related information accurately between English and Spanish, as instructed by the pharmacist
  • Provide customer service to Spanish-speaking patients in a professional and respectful manner
  • Strong organizational, interpersonal, written and oral skills.
  • Strong attention to detail and accuracy
  • Ability to work effectively with diverse populations in a faith-based setting.
  • Demonstrate the implementation of best practices as required by the SVdP Safeguarding policy when interacting with children and vulnerable adults.
  • For the safety of the clients SVdP serves and as per the Safeguarding Policy, this position requires the successful completion of a criminal background check.

  • Must develop good working knowledge of patient assistance programs and the pharmacy vendors, and the Wisconsin Forward Health Portal within the first 6 months of the role.

Responsibilities

  • Support pharmacists and pharmacy staff with prescription workflow activities, including data entry, prescription processing, eligibility verification, and documentation.
  • Complete eligibility paperwork accurately and in a timely manner to support client access to pharmacy services.
  • Answer incoming phone calls, take messages, and assist clients with routine inquiries while escalating complex issues appropriately.
  • Assist with medication processing tasks as permitted by law and organizational policy.
  • Assist Spanish-speaking patients as needed
  • Maintain accurate records in the pharmacy systems and files.
  • Coordinate, orient, and provide on-the-job guidance to volunteers.
  • Serve as a point of contact for volunteer scheduling and workflow questions.
  • Identify training needs and communicate concerns to the Pharmacy Manager.
  • Assist with maintaining an organized, clean, and functional pharmacy workspace.
  • Support inventory organization and supply management.
  • Report on maintenance, safety, or equipment issues to leadership (Sr. Director of Client Services).
  • Participate in upkeep activities to ensure a safe and efficient work environment.
  • Adhere to safeguarding, HIPAA, confidentiality, and pharmacy regulatory requirements.
  • Complete required training, background checks, and ongoing compliance activities.
  • Support inclusive, respectful interactions with clients, volunteers, and staff.
  • Conduct pre-eligibility phone calls (or in person visit) as interviews to collect patient information
  • Perform other related duties as assigned
