About The Position

Cross Creek is seeking a Landscape Maintenance Coordinator to support their Maintenance Division, which manages a $7+ million portfolio. This role reports to the General Manager and is based at their Richmond, VA office. This is not a traditional administrative job; the coordinator will act as the connection point between Account Managers, Production Managers, field crews, and customers, ensuring information accuracy, organized schedules, and followed-through commitments. While landscaping knowledge is not required, the company values ownership, initiative, follow-through, and a commitment to exceptional customer service.

Responsibilities

  • Manage the customer relationship management (CRM) system, including scheduling, field notes, and customer/property records.
  • Ensure customer, property, and service records are accurate.
  • Enter service requests and notes, and track open items until resolved.
  • Assist Account Managers in utilizing the CRM system as a daily tool.
  • Collaborate with Account Managers and Production Managers on schedules, routes, crews, materials, and job details.
  • Identify and resolve conflicts and missing information before they impact production.
  • Adjust to shifting seasonal and daily priorities.
  • Handle a high volume of phone calls from customers, crews, and managers, especially during peak seasons.
  • Serve as the first point of contact for customer inquiries, updates, and requests.
  • Respond promptly and professionally to residential and commercial customers.
  • Route customer concerns to the appropriate Account Manager.
  • Proactively update customers on their service status.
  • Manage difficult customer situations calmly and provide solutions.
  • Take ownership of the customer experience, even for issues originating in other departments.
  • Relay information between the office and the field.
  • Assist with onboarding paperwork.
  • Support special projects and provide general team assistance.
  • Source apparel for crews and office staff.
  • Manage subcontracted work and repairs, including obtaining quotes, scheduling, and follow-up.
