Job Description: This role is a key front line position that connects individuals seeking legal help with the right attorneys while providing clarity, reassurance, and guidance during often stressful situations. As an Intake Specialist, you will manage high volumes of inbound and outbound calls, assess client needs, and ensure accurate routing, scheduling, and documentation. You will play an essential role in protecting attorney time, improving conversion, and maintaining an exceptional client experience. Requirements

  • Full time position supporting a referral based legal organization
  • Work schedule aligned with Pacific Standard Time business hours
  • Position requires consistent phone based communication with clients and referral partners
  • High call volume environment with approximately 10 to 20 calls per day initially, increasing over time
  • Bilingual Spanish skills strongly preferred
  • Comfortable working in a fast paced and evolving operational environment
  • Open to continuous improvement, automation, and technology driven processes

Responsibilities

  • Manage referral partner communications and maintain referral records
  • Review call recordings to identify quality improvements and conversion opportunities
  • Support translation review to ensure Spanish language materials and communication are clear and accurate
  • Answer inbound and outbound calls and serve as the first point of contact for prospective clients
  • Route calls accurately to attorneys or referral partners based on client needs, budget, and legal matter
  • Schedule paid consultations and process associated payments
  • Prepare attorneys with complete and accurate client information prior to consultations
  • Maintain detailed and accurate records of all interactions within the CRM system
  • Handle high maintenance callers professionally while protecting attorney time
  • Create and deliver accurate sales and performance reports on a recurring basis
  • Track and evaluate key metrics to support team growth and operational improvement
  • Conduct initial screenings to determine qualification and appropriate referral pathways
  • Follow up with qualified leads and refine follow up processes to improve conversion
