About The Position

At Job Duck, we are looking for a compassionate and proactive Intake Specialist who will serve as the first point of contact for individuals seeking legal support. In this role, you will greet prospective clients with warmth, empathy, and professionalism, actively listening to their concerns while gathering essential information with care and discretion. Using sound independent judgment, you will assess the nature and urgency of each inquiry, determine eligibility for legal services, and route matters appropriately, ensuring each caller feels heard and supported as they take their first step toward legal guidance. You will also play a key role in guiding potential clients through initial conversations, coordinating next steps, and supporting both prospective and current clients with organization and responsiveness. This position is ideal for someone who thrives in a client-facing role, takes initiative, and values making a meaningful daily impact within a growing legal team.

Requirements

  • Full-time position aligned with EST business hours
  • Working hours: 8:30 AM to 5:30 PM EST
  • Time zone alignment required: Eastern Standard Time
  • Experience supporting legal or professional services environments preferred
  • Spanish is not mandatory
  • Willingness to take initiative during low call-volume periods
  • Comfortable handling sensitive client information with discretion

Responsibilities

  • Contribute to additional support tasks during low call-volume periods
  • Support ad hoc administrative tasks as requested
  • Follow up with leads and prospective clients
  • Handle consultation payment processing
  • Arrange referral gifts and client acknowledgments
  • Schedule consultations and manage calendars
  • Assist with phone calls and scheduling for current clients
  • Perform intake calls with prospective clients
  • Save and organize court and client documents
  • Conduct screening calls to assess potential client fit
  • Manage internal communications and coordination
  • Send retainer agreements to potential clients
  • Take initiative to identify areas where operational support is needed
