Job Description: We are seeking a Bilingual Immigration Administrative Assistant who will help keep a busy immigration practice running smoothly through proactive coordination, precise follow-through, and client-focused communication. In this role, you will manage schedules, keep deadlines and appointments on track, and maintain well-organized digital client records so the team can operate with confidence even during high workload periods. You will serve as a reliable point of contact for client communications while ensuring details are captured accurately and consistently in the firm’s systems. This position is ideal for someone who thrives in a structured environment, takes initiative without being asked, and is known for careful, low-error work that supports high standards. -Salary Range: from $1,060 USD to 1,150 USD.

  • Strong English communication skills for phone and email communication

  • CRM proficiency and accurate data entry

  • Ability to manage reminders, notifications, and time-sensitive follow-ups
  • Discretion and sound judgment when handling client records and confidential information
  • Work schedule and timezone: Monday to Friday from 8:30 a.m. to 05:30 p.m. EST.
  • Language requirement: Spanish is mandatory due to client needs.

Responsibilities

  • Update and manage CRM information in Docket Wise with consistent, accurate data entry
  • Maintain client documents and records, keeping digital files organized and current
  • Handle notifications, notices, and client appointment coordination with accuracy and timeliness
  • Communicate with clients via phone and email regarding notices, appointments, and updates
  • Send reminders and ensure appointments and deadlines are tracked and followed through
  • Propose relevant professional events the team can attend and help coordinate participation logistics
  • Track and follow up on personal and medical appointments and time sensitive commitments as assigned
  • Create or update PowerPoint presentations and related materials when requested
  • Prepare teaching materials and assist with academic related tasks as assigned
  • Set up meetings with internal team members and external contacts
  • Support task management and follow ups using BloomGrowth to do lists and internal workflows
  • Serve as a first point of contact when needed and support client outreach based on workload demands
  • Manage calendars and scheduling for assigned leaders and support coordination across the firm as needed
