Job Description: This role is designed for a highly organized and proactive Administrative Assistant who thrives in a fast paced legal environment and enjoys bringing structure and clarity to complex workflows. In this position, you will play a critical role in keeping legal calendars accurate, case information current, and documentation flowing smoothly between attorneys, clients, and courts. Your daily work will directly support attorneys by ensuring deadlines are met, filings are properly handled, and communication stays consistent and timely. Success in this role requires someone who learns quickly, takes ownership of processes, and approaches details with care and precision. Requirements

  • Full time position supporting a legal team
  • Time zone alignment required with Pacific Standard Time
  • Office hours are Monday through Friday from 9:00 AM to 6:00 PM PST
  • VPN access required
  • Training provided by internal team members and supported by training videos
  • Daily, weekly, monthly, and quarterly check ins with the team

Responsibilities

  • Draft Proofs of Service for applicable matters
  • Rename, date, upload, and organize documents according to internal filing standards
  • Submit filings for attorney review, file with the court, serve opposing counsel, and circulate to clients
  • Prepare draft legal filings using templates and minute orders once trained
  • Maintain and update Proofs of Service notes and service lists
  • Update case statuses based on docket activity and internal communications
  • Circulate all incoming and outgoing correspondence to clients and internal team members
  • Ensure Clio calendars remain synchronized with Outlook and remove incorrect floating entries
  • Circulate weekly reports of upcoming hearings, depositions, and active cases
  • Update and maintain the case and trial list, including matter status changes
  • Monitor court websites regularly and calendar all hearings, trials, depositions, and deadlines
  • Cover intake calls when primary intake staff is unavailable
  • Create and manage contacts and matters within Clio
  • Schedule LASC Connect Call reservations for upcoming hearings
  • Manage Zoom integrations and schedule virtual meetings for attorneys and staff
  • Maintain and manage all legal calendars to ensure accuracy with court dockets
