About The Position

The Bilingual Department Technician in Academic Development provides excellent customer service to Adult Basic Skills (ABS)/General Education Development (GED) and English for Speakers of Other Languages (ESOL) students enrolled in federally funded Title II programs, Integrated Education and Training (IET), or career pathway cohorts. They offer clerical and office support to administrators and faculty in the Academic Development Department and collaborate with a team to help foster overall student success. The Technician also assists the department’s STEP Program with core operations, including communications, record keeping, and report preparation. Requirements

  • Equivalency of four (4) years of full-time work experience related to the essential functions and duties of the position listed above.
  • Exceptional oral, written, and listening skills, with a strong emphasis on professional business correspondence and customer service best practices.
  • Demonstrated organizational skills with the ability to work independently, self-manage, and collaborate effectively as a team member to achieve tangible outcomes.
  • Bicultural/multicultural skills sufficient to select appropriate behaviors, values and attitudes within different cultures during interactions with others.

Nice To Haves

  • Proficiency working with Microsoft products such as Word, Excel, Outlook.
  • Familiarity with Google products, a plus.
  • Working experience proctoring computerized tests, such as GED exams.
  • Knowledge of administrative workflows, data handling protocols, and front office procedures, preferably in post-secondary education, government or regulated industry setting.
  • Knowledge of customer service best practices, with a strong emphasis on professional business communication and correspondence.
  • Two (2) years of clerical record keeping experience in a customer service setting.

Responsibilities

  • Provides college, department, and project information in Spanish and English to students, staff, and the public over the phone and in person, including monolingual Spanish speakers.
  • Provides information or services to appropriate staff according to program and Title II guidelines and provides primary reception coverage.
  • Assists ESOL and GED students with scheduling orientation, registration, testing, and add/drop procedures, including maintaining appropriate documentation and submitting necessary forms to Enrollment Services on students’ behalf.
  • Serves as first point of contact for all Academic Development programs and determines if referral is appropriate and directs to appropriate resources as needed.
  • Conducts follow up calls to applicants.
  • Provides information or services to appropriate staff according to program guidelines, provides reception coverage as needed.
  • Supports in the collection of Title II-related data and the production and maintenance of required compliance reports and materials related to that data.
  • Administers, proctors, and facilitates the computerized test taking process per established guidelines.
  • Oversees the collection of data from multiple sources, the maintenance of data integrity, and the production of reports and materials related to the data.
  • Support onboarding and advises part time staff on project record keeping and recording procedures.
  • Verifies applicant’s eligibility for relevant Academic Development, including ESOL, GED, Spanish GED, and STEP programs.
  • Tracks eligibility and compliance data in appropriate databases.
  • Assists with STEP program record keeping, including grant outcome tracking and report preparation.
  • Collaborates with Academic Development staff, advisors, and other college departments to share information about STEP services.
  • Prepares, proofs, and types letters, reports, correspondence, forms, promotional, marketing materials and other documents in a prescribed manner.
  • Prepares packets for mailing, oral or written instructions or transcriptions in both English and Spanish.
  • Acts as a liaison between staff and other departments.
  • Makes recommendations in the development and implementation of office policies and procedures.
  • Serves as a point of contact on training employees on policies, procedures, software and other items assigned areas of responsibility.
  • Provides support for special projects as directed.
  • Maintains office filing systems and statistical records and reports systems, transcribes data into computerized database files.
  • Orders and maintains office supplies, materials and other inventory.
  • Receives merchandise, verifies orders, enters inventory into database, and performs other related activities.
  • Participates in organizing events and reserving equipment for special events.
  • Performs cashiering duties to collect program and testing fees for GED and ESOL courses and processes refund requests as appropriate.
  • Participates in registration and orientation activities.
