The primary focus of this role is answering and returning phone calls, connecting callers with the appropriate person, and helping ensure every interaction is handled clearly and professionally. Requirements

  • Minimum of 1 year of experience in a client-facing role, such as customer service or sales.
  • Advanced/native-level English skills (both written and spoken)
  • Warm, friendly, and professional telephone presence

Responsibilities

  • Transfer calls to the appropriate team member or department.
  • Return phone calls in a timely manner.
  • Direct prospective client calls to the intake team when appropriate.
  • Gather initial information from callers before transferring them.
  • Schedule appointments and maintain accurate calendar information.
  • Follow up by phone with existing clients.
  • Use RingCentral for telephone communications.
  • Use Google email, calendar, chat, and video tools for daily communication and scheduling.
  • Maintain dependable attendance and remain available to answer calls throughout scheduled working hours.
  • Answer incoming phone calls promptly and maintain a warm, professional tone.
  • Follow up with referral sources.
  • Manage multiple incoming calls during busy periods while remaining calm and organized.
  • Use Lawmatics and PracticePanther to support call related and client related workflows.
  • Use Microsoft Office tools and Fireflies as required for assigned work.
  • Serve as the primary point of contact for callers.
